GENERAL DESCRIPTION

The Order Entry Processor delivers excellent service and deliverables to all Smith System customers, both external and internal, using multiple communication platforms and systems. Accurate gathering and organizing of each orders data and its entry into our order system, and finally the verification of the entry is paramount in this role.
RESPONSIBILITIES
- Responsible for processing assigned order tickets by reviewing, perfecting, processing, and verifying purchase orders received within 24 hours of receipt.
- Assigned order tickets must be processed accurately, timely, and within order fulfillment SLAs as established by the manager.
- Must be able to master order entry in both speed and accuracy, ensuring all orders are processed not only correctly, but quickly.
- Client communication must be clear, concise, and professional with order entry correspondence.
- Must ensure timely follow-up daily on held orders (orders not submitted queue), rejected orders, and order verification. Also responsible for closing tickets once orders have been submitted.
- Confirming payment requirements with controller/AR and submitting pro forma invoices when necessary, keeping the account coordinator in copy.
- Actively support the training of other team members by sharing learned techniques and contributing to Smith Systems knowledge base.
- Covering front desk as needed by screening and allowing/denying access to building for visitors. Assisting with main phone line as needed.
- All additional tasks as assigned.
Qualifications
WORK EXPERIENCE / EDUCATION REQUIREMENTS
- High school diploma or equivalent is required. Some college preferred.
- At least 2 years of customer service and data entry experience required.
- Previous experience working for a manufacturer is preferred.
- ERP, CRM (such as Salesforce), HubSpot experience is preferred.
- Intermediate knowledge of MS Word, Excel, Outlook, Teams, SharePoint, and PowerPoint is required.
ABILITIES REQUIRED
- Attention to detail and ability to complete functions timely.
- Quick and Accurate Data Entry Skills
- Ability to multitask and move quickly from one task to another, sometimes with interruptions.
- Excellent and effective verbal and written communication skills are required.
- Ability to work in a fast-paced seasonal environment (Memorial Day to Labor Day is typically all-hands-on deck).
- Flexibility with schedule when a deadline is approaching.
- Must be a team player and be available to work with the team toward a shared goal.
