We are seeking a highly organized and proactive full-time Office Manager to be the backbone of our operations, ensuring the seamless day-to-day functioning of our commercial real estate appraisal firm. As a key member of our team, you will play a vital role in streamlining processes, managing administrative tasks, and supporting staff and clients to drive business success. Responsibilities
- Manage daily office operations, ensuring efficiency and effectiveness in all administrative tasks.
- Provide exceptional customer service by addressing inquiries and resolving issues promptly.
- Maintain organized filing systems, both electronic and paper-based, to ensure easy access to important documents.
- Handle phone calls with professionalism, demonstrating excellent phone etiquette.
- Perform data entry tasks accurately and efficiently, ensuring that all information is up-to-date.
- Coordinate office supplies procurement and inventory management to support operational needs.
- Support the team with various administrative tasks as needed to promote a collaborative work environment.
- Client Communication: Ensure timely responses to emails, phone calls, and client portal messages to maintain excellent customer service.
- Appraisal Bid Process: Assign bids to appraisers, submit and track bids, and follow up as needed.
- Appraisal Job Kickoff: Initiate data collection and client introductions.
- Job Tracking & Deadlines: Maintain up-to-date job statuses and provide appraisers with upcoming due-date reports.
- Report Assistance: Provide support for report completion, such as market/property research and formatting.
- Bookkeeping: Assist with invoicing, tracking payments, and financial record-keeping.
Qualifications
- Associate’s Degree or higher is required.
- Proven experience in an administrative or office management role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent customer service skills with a friendly demeanor.
- Proficient in data entry and familiar with computerized office systems.
- Proficient in Microsoft Office and the ability to learn industry-specific software.
- Solid time management skills to handle multiple responsibilities efficiently.
- Ability to work independently as well as part of a team in a dynamic environment.
- Detail-oriented with strong problem-solving skills.
