Smyth Air Conditioning is a large family owned and operated HVAC company, doing business in Palm Beach and Martin counties since 1987. Most of our employees have been with us for 20 years so we are looking for someone to join our family team.
We are looking for a Receptionist to assist with our front desk and data entry on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit our business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position as we are a very busy office.
Responsibilities:
- Greet and welcome guests in a professional and friendly manner
- Answer phone calls, take messages, and redirect calls as necessary
- Manage incoming and outgoing mail
- Maintain office supplies and inventory
- Assist with basic bookkeeping tasks
- File and organize documents and records
- Provide administrative support to various departments as needed
Requirements:
- Previous experience in a front desk receptionist or administrative role preferred but not required
- Proficient in Microsoft Word and Excel a plus but not required, will train
- Excellent phone etiquette and communication skills a must
- Strong organizational and multitasking abilities
- Attention to detail and accuracy in data entry and record keeping
- Ability to handle confidential information with discretion
