Description
Objective: The Regional Office Manager will oversee the general administrative function and activities for multiple offices while supporting branch operations by maintaining the office. This position will also help the accounting department while maintaining compliance with federal, state, and local guidelines and regulations. This position will keep precise records of payments made/owed and must work collaboratively with other accounting professionals. The regional office manager will also serve as the front-line HR contact for personnel at their assigned branch locations.
Duties/Responsibilities include the following:
· Maintains office services by organizing office operations and procedures, assisting with payroll/timecards, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
· Supports answering telephone calls and emails from customers and clients while directing them to relevant staff
· Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required
· Overseeing maintenance companies to keep the office clean and safe, and ensure all appliances are in good working order
· Provides historical reference by defining procedures for retention, retrieval, transfer, and disposal of records
· Assist in the recruitment process by scheduling potential applicants for interviews
· Maintain clean and current accounts payable and receivable
· Responsible for branch-level customer credit review
· Create invoices according to company practices; submit invoices to customers
· Research into customer discrepancies and past-due amounts
· Copies, files, and retrieves materials for accounts receivable as needed.
· Contributes to team effort by accomplishing related results as required
· Other duties as assigned
Requirements
Required Skills/Abilities:
· Excellent organizational skills, time management, and attention to detail.
· Understanding of basic principles of finance, accounting, and bookkeeping
· Strong verbal and written communication skills
· Ability to maintain confidential and meticulous records
· Proficient in Microsoft Office Suite or related software
· Ability to operate relevant office equipment
· Strong mathematical skills
Qualifications:
· High school diploma or equivalent
· Experience in accounts payable and receivable preferred
Physical Requirements:
• Work is conducted in an office/field setting with sedentary to moderate physical effort associated with using a computer, copier, etc.
• Ability to walk, sit, or stand for extended periods
• May be required to occasionally lift, carry, push, pull, or otherwise move objects up to 25 pounds
