DEPARTMENT: Front Office
REPORTS TO: Front Office Supervisor
SUMMARY: Established Ophthalmology practice is currently seeking an individual for our Front Office Check in/Check out to greet patients. Vision insurance experience is a plus.
DUTIES AND RESPONSIBILITIES:
- Proficient front desk representative, able to provide excellent customer service.
- Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to appropriate employee, voice mail.
- Greet and acknowledge patients for appointments in Practice Management System Mod Med (Ema).
- Monitors daily schedules for patient no-shows, late patients and cancellations. Follow up with patients as needed. Update tech board of patient’s status.
- Print/distribute schedules for doctor’s/front desk/optical/technicians daily.
- Responsible for monitoring the waiting room area and ensuring all patients have been taken care of and assisted in a timely manner. Inform patients of extended wait times and/or schedule changes.
- Offer refreshments to patients waiting for appointments and direct patients to the Optical department if needed.
- Maintain stock of refreshment station
- Keep waiting room tidy by straightening magazines, restocking business cards and brochures. Ensure all literature, including magazines are current.
- Responsible for entry of new patient demographics and patient data update changes and patient photo.
- Pass out surgical consents to all Pre-Op patients. Maintain adequate stock of surgical consent packets.

- Research patient eligibility and copay information on Availity prior to patient’s appointment.
- Responsible for processing record releases for all locations according to protocol, within 72 hours or receiving it.
- Monitor fax machine for incoming faxes and distribute to appropriate department.
- Address returned mail by researching/calling patient to get correct address.
- Fax all co-manage reports to referring doctors daily and ensure that faxes go through. Attach co-manage to fax confirmation for scanning.
- Schedule patients walking in or calling in for appointments. Offer the first available at the most convenient location for the patient.
- Triage patient calls, schedules accordingly
- Responsible for completing all medical record releases.
- Responds to visitors, clients, and employees in a courteous and professional manner.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Performs other related duties as assigned by management.
QUALIFICATIONS:
- High School diploma, one to two years related experience, or equivalent combination of education and experience.
- Excellent verbal and written communication skills.
- Proficient with Mod Med(Ema) a plus.
- Ophthalmology experience a plus
- Strong interpersonal skills.
- Ability to understand and follow written and verbal instructions
- Ability to deal effectively with a diversity of individuals at all organizational levels.

SCHEDULE: Monday thru Friday (8-hour day shift), occasional travel to different offices with mileage reimbursement.
