Job Title: Administrative Assistant, Housing Justice Project – Right to Counsel

Overview: Snohomish County Legal Services’ (SCLS) provides free civil legal services to low-income individuals and families in Snohomish County. Services are provided using a hybrid model of staff and volunteer attorneys, and includes outreach, education, counsel, and advice, negotiated settlements, representation, and partnership development.
Reports to: Managing Attorney
Primary Responsibilities
- Prepare and manage a high-volume caseload;
- Including opening or rejecting cases; assessing for immediate response or service;
- Monitoring referrals: from direct, community partners, and other legal aid organizations
- Provide program and/or project support, handling confidential materials, non-routine information and general administration matters;
- Assist attorneys at the legal clinics, as assigned
- Case data management and tracking
- Create, maintain and close case files and database entries into LegalServer;
- Request and receive supporting documents from clients and upload to LegalServer
- Send necessary agreements and paperwork to clients for their e-signature or arrange for in-person signature
- Assist in the compilation of statistical data for reporting purposes;
- Assist in management of office systems, including case lists;
- Prepare and edit correspondence, intakes, administrative and other documents independently and consistent with attorney instructions;
- Perform certain clerical duties: answer telephones, make appointments, manage calendars, take messages, and answer inquiries; and
- Check voicemails, emails, and return calls, as directed;
- Other duties as assigned.
- Communication with clients:
- schedule clients for in-person and/or remote appointments;
- email, telephone, or text appointment reminders
- Ensure proper and necessary documents have been received from client and uploaded to LegalServer
- Conflict Lists
- Create conflict lists for volunteer attorneys
- Communication with contract/volunteer attorneys
- Email contract/volunteer attorneys client conflict lists and Zoom appointment links (for virtual services) at least 48 hours in advance of their clinic
- If a client cannot access Zoom, but requires virtual services, provide the client’s phone number to the attorney at the time the conflict list is emailed.
- Assign attorney to client in LegalServer
- Gather and input attorney case notes into appropriate LegalServer file if necessary
- Monitor clinics for cancellations or no-shows
- Post-clinic Review
- Read case notes for each appointment
- Communicate case outcome and whether additional services or direct representation is required
- Alert Managing Attorney for each case where the clinic attorney agreed to provide direct representation
- Send post-clinic survey to clients, or provide when in person o
- Reject cases if the client was a no-show
- Close cases if the attorney communicated no further service was needed
- Data Tracking
- Assist Managing Attorney with monitoring Unlawful Detainer Case filings;
- Record outcomes in case management system;
- Mail postcards to potential clients with SCLS information
- Update appropriate Excel sheets for UDA
- Assist with monitoring clients who are referred by community partners
General Responsibilities
- Ensure that confidential client files and records are appropriately maintained
- Exhibit a high level of organization and self-discipline to complete tasks in a timely fashion
- Participate in ongoing organizational diversity, equity and inclusion education and work
- Follow established organizational community agreements in all interactions with staff
- Communicate with clients respectfully and compassionately
- Attend and provide support for community outreach events.
- Work on special projects as assigned.
- Perform other job duties as assigned.
Courthouse and Clinics
- Open/close clinic.
- Provide administrative support for staff/volunteer attorneys.
- File documents with the clerk’s office, if necessary.
- Provide tenants with housing resources/exit packets.
Tenant Rights Clinics
- Assist with clinics and ensure data is inputted into legal server.
- Managing and refilling clinic documents, files, and packets
- Checking clients out after attorney advice and scheduling for follow-up, as necessary.
- Ensuring all drafted letters are mailed to opposing counsel/party.
- Follow-up with clients periodically after receiving correspondence from opposing counsel/party.
Other
- Attend trainings, as necessary.
- Work with community partners.
- Attend staff and department meetings.
- Attend and assist attorney/SCLS at outreach events.
Job Parameters:
- Schedule: Full Time (40 hours per week); Shift: Day (Monday-Friday) with minimal evenings (for legal clinics or events) as required;
- Work is performed in an office environment, and it is expected this person to be on-site in our in downtown Everett office, limited ability to work remotely;
- The physical demands described above are representative of those required by an employee to successfully perform the essential functions. Ability to sit or stand for extended periods of time; interact with computer screens and manipulate essential computer components (i.e., mouse and keyboard). Mobility around the office, and abilities to bend/stoop, push/pull, and perform unassisted lifting consistent with the job duties are required.
