OBJECTIVE SUMMARY: Responsible for making appointments for patients including outpatient clinic appointments and medical practice procedures.
ESSENTIAL FUNCTIONS: Schedules appointments for patients by phone when they call in or in person after an office visit. If medical practice offers after- hours/ one-day appointments, schedules these appointments following urgent/emergency protocols as in the case of a sick child, which may mean scheduling the patient with a physician or nurse practitioner other than their primary provider.
- Uses computerized system to match provider availability with patient’s preferences in terms of date and time.
- Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns. Provides daily schedules to providers or medical assistants prior to each days visits if requested.
- Ensures that updates (e.g. cancellations or additions) are input daily into the master schedule.
- Verifies demographic data and insurance for patient schedules.
- Communicates as needed with the providers and other staff about any patient concerns/issues related to scheduling. Consults with informatics about any system problems.
- Uses customer service principles and techniques to deal with patients calmly and pleasantly.
- Other duties as assigned.
REQUIRED EDUCATION: High School Diploma
PREFERRED EDUCATION: Associate degree
REQUIRED EXPERIENCE: Minimum 6-months of experience related to appointment scheduling, preferable in a medical practice setting
PREFERRED EXPERIENCE: One year of experience in an appointment scheduling position, preferable in a medical practice setting
WORK ENVIRONMENT: Medical office or reception area.
PHYSICAL DEMANDS: Mostly sedentary with some standing, walking, reaching. Periodic stress from handling many calls and patient requests.

Eligibility Requirements - Employees regularly scheduled at least 20 hours per week.
Employee Dependents - Your legal spouse or domestic partner, Dependent children until age 26.
Waiting Period - 1st of the month following your date of hire.
