Job Function: Primary responsibility is to enter and process all clerical requirements on multiple platforms and support day-to-day warehouse operation managing the smooth flow of goods throughout a supply chain, including coordinating transportation, inventory management, and communication between different departments to ensure timely and accurate deliveries, while optimizing costs and efficiency across the logistics process; key duties involve tracking shipments, managing relationships with carriers, reviewing purchase orders, resolving shipping errors, and maintaining accurate records to meet customer demands.
Essential Functions:
- Order processing: Reviewing purchase orders, verifying accuracy, and initiating shipping processes.
- Documentation management: Preparing shipping documents, invoices, and other necessary paperwork to ship orders. File daily pick lists, logs, and maintain system records on outgoing shipments.
- Shipment coordination: Arranging transportation for goods, including selecting carriers, negotiating rates, and booking shipments to meet delivery deadlines. Ship confirms orders using MRP system.
- Compliance: Ensuring adherence to all relevant regulations and shipping standards. Verify accuracy and markings for outgoing shipments including equipment serial number identification.
- Tracking and tracing: Monitoring shipment progress, identifying potential delays, and resolving shipping issues. Confer or correspond with establishment representatives to rectify problems, such as damages, shortages, or non-conformance to specifications. File damage claims.
- Customer service: Responding to customer inquiries regarding order status and addressing any delivery concerns.
- Relationship management: Building and maintaining relationships with carriers, suppliers, and internal stakeholders.
- Reporting and analysis: Generating reports on key performance indicators (KPIs) to track logistics performance and identify areas for improvement.
- Inventory management: Monitoring stock levels, coordinating warehouse operations, and ensuring accurate inventory data. Audit and process cycle counts through standard warehouse procedure.
Additional Duties:
- Bring awareness to direct supervisor for potential failures regarding facilities, systems, processes, or equipment.
- Acquiring and providing freight quotes.
- Counting, weighing, and packaging items to be shipped and checking against packing lists along with maintaining records of shipments.
- Contact carrier representatives to arrange or to issue instructions for shipping and delivery of equipment or components.
- Monitor stock levels of consumable items, issue material requisitions with supervisor’s approval and directions, and place orders as instructed.
- Operate warehouse equipment when needed.
- Provide, maintain, and update spreadsheets to populate or provide necessary information to internal and external sources relating to equipment shipment, serial number confirmation, available inventory, etc.
Qualifications:
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Ability to actively listen, giving full attention to what other people are saying, taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Critical thinking to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusion or approaches to problems.
- Ability to tell when something is wrong or is likely to go wrong
- Ability to apply general rules to specific problems to produce answers that make sense.
- Good written and oral communication skills

- Previous experience with shipping methods and required forms
- 2 years’ experience in shipping/receiving, logistics, delivery and customer service role
- Competence in Microsoft Office products including Word, Excel, Outlook and Power Point
