Insurance Defense law firm with offices in New York City seeks an individual for a billing associate position. This position entails the support of the law firm’s billing and case managements functions. Responsibility includes entering billing data and generating legal invoices. Candidates are expected to work closely with our attorneys and partners in ensuring all legal works are captured in firm’s legal invoices and processed properly and timely to clients.
A successful candidate possesses exceptional communication and interpersonal skills necessary to communicate with a varied and diverse group of attorneys, staff and clients. Knowledge of Outlook, Microsoft Word, and Excel. Knowledge of financial E-Billing/Reporting software is a plus.

Essential Duties and Responsibilities
Enter billing data; review, edit and generate client invoices for assigned billing attorneys; work closely with assigned attorneys in order to achieve goal of producing invoices in accordance with the fully executed engagement letters, billing guidelines; process bills through our billing system and, if required, submit electronically via the designated 3rd party e-billing system.
Primary responsibilities include:
- Enter billing data in a efficient, timely manner.
- Advise partners on existing client billing arrangements and assist with the monitoring/tracking of same.
- Meet with assigned attorneys to review unbilled time and ensure that status comments are up to date.
- Prepare bills based on the client’s requirements and provide appropriate documentation and exhibits if needed.
- Submit invoices via electronic 3rd party e-billing system while meeting client requirements.
- Perform bill audits, review bills and guidelines for accuracy and process bills into the billing system.
- Research and respond to any attorney or client billing related inquiries.
- Review and resolve unpaid invoices.
- Ability to work with minimal supervision.
- Work well with deadlines.
