Role description
We are seeking a skilled and organized Document Specialist with a strong knowledge of Procore to support the efficient processing and management of project documentation.
The ideal candidate will work closely with project teams to handle critical documentation, including TOP (Turnover Packages), drawings, vendor submissions, and other project-related materials. This role is pivotal in maintaining accurate records, ensuring timely submis-sions, and facilitating seamless communication across teams.
Key Responsibilities
- Manage and process project documentation, including Turnover Packages (TOP), engineering drawings, vendor submissions, and other related files.
- Utilize Procore to upload, organize, track, and maintain project records to ensure easy access and up-to-date documentation.
- Coordinate with vendors and internal teams to ensure timely submission and approval of documentation.
- Review and verify documentation for accuracy and completeness, ensuring compliance with project standards.
- Collaborate with project managers and other stakeholders to resolve discrepancies in documentation and provide updates on progress.
- Maintain a comprehensive filing system to support project handover and closeout requirements.
Skills, Knowledge and Expertise
- Proven experience as a Document Specialist or in a similar role, preferably in a construction or engineering project environment.
- Proficiency in using Procore for document management.
- Strong organizational and time management skills, with attention to detail and accuracy.
- Excellent communication skills to coordinate with internal and external stakeholders.
- Familiarity with technical documentation, including engineering drawings and project submissions, is a plus.
- Ability to work independently and as part of a team to meet deadlines.
