SUMMARY
The Preschool Administrative Assistant serves as a support staff to the Preschool Director.
Under general supervision, the administrative assistant will perform and provide assistance to the director for relief of routine administrative and clerical details. The position will require the individual to oversee and perform a wide variety of complex and responsible clerical work. They will also assist in coordinating a variety of site-based activities. Individual in this assignment will assists with any basic duties to ensure the smooth operation of the preschool.
DUTIES AND RESPONSIBILITIES
Although other duties may be assigned, the essential duties include the following:
- Serves as secretary to director
- Maintains the director’s calendar
- Provide clerical support in such areas as enrollment, attendance and student records
- Provide excellent customer service skills
- General clerical duties and administrative support activities
- Answer phones
- Perform assigned tasks with minimal supervision
- Take directives, understand and follow oral and written directions
- Works cooperatively with co-workers
- Maintain acceptable standards of behavior and professionalism with parent, children and staff
- Assist in the planning of preschool special events, field trips and community events
- Coordinate meetings
- orders and maintains office supplies inventory
- generates and maintains a variety of documents, bulletins, rosters, flyers and records
- Develop and maintain yearly calendar
EDUCATION
- High School Diploma
- 6 units in Early Childhood preferred
EXPERIENCE
- Minimum of one year experience in clerical work
QUALIFICATIONS
Knowledge of:
- Software knowledge and computer literate
- Effective written and oral communication skills
- Proper English grammar, spelling and punctuation
Ability to:
- Work under pressure conditions
- Able to multi-task
- Adapt to frequent change and reorganization
- Typing speed of 30-35 wpm
- Operate standard office equipment and electronic devices
REQUIRED
- A current California driver license
- CPR/First Aid Pediatric Certification
- TB Test
- Must have the ability to speak, write and read English
