We're on the lookout for a talented Executive Assistant to provide comprehensive support to our executive and senior leadership team in North America! πΌ
π The Opportunity
As an Executive Assistant, you'll be a key player in a fast-paced and exciting work environment. You will play a critical role in supporting our executives and Senior Leadership Team by managing schedules, travel arrangements, and various organizational tasks. You will also aid the marketing team and contribute to the successful execution of team and client events.
What Youβll Do
ποΈ Calendar & Meeting Coordination: Efficiently manage complex calendars for the CEO and Executive Team, scheduling internal and external meetings across time zones.
π§ Email & Communication Support: Assist in email management, prioritizing and drafting responses as directed. Handle general administrative duties, including document preparation and communication
π¦ Mail Handling: Assistance with physical mail
βοΈ Travel & Expense Management: Organize travel arrangements (flights, accommodation, transportation) and manage expense reporting for executives. Ensure compliance with company policies and budget management.
π Swag & Client Gifts: Coordinate sourcing, management, and distribution of promotional materials and thoughtful client gifts.
ποΈ Team Event Logistics: Plan and organize in-person team gatherings, including venue selection, travel, lodging, budgeting, and catering.
π₯ Meeting Support: Attend key meetings, take minutes, track action items, and follow up as necessary.
πΊοΈ Resourcefulness & Knowledge: Maintain familiarity with key cities (e.g., NYC, Chicago, Atlanta) and gather resources independently as needed.
π Project Support: Assist with special projects and initiatives as required, supporting broader organizational goals.

- Proven experience as an Executive Assistant or in a similar administrative role.
- Expertise in managing executive-level calendars, travel arrangements, and complex logistics.
- Proficient in Google Suite (Mail, Calendar, Docs, Slides, Sheets) and Microsoft Office (Word, Excel, PowerPoint).
- Resourceful and able to work independently while managing multiple priorities effectively.
- Proven experience as an Executive Assistant or in a similar administrative role, supporting senior executives.
- Expertise in managing executive-level calendars and travel arrangements.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Proficient in Google Suite (Mail, Calendar, Docs, Slides, Sheets).
- Resourceful, independent, and capable of handling multiple priorities.
- Discreet with the ability to manage confidential information.
- Experience in a remote work environment (desirable).
- Background in digital or social media (desirable)
