Position Details
- Schedule: Monday - Friday, 8:30 AM - 5:00 PM PST
- Location: 100% Remote
- Client Interaction:
- Greet and assist veteran clients over the phone, ensuring they feel supported and valued.
- Handle high call volumes (75 calls/day), including answering inquiries, providing updates, and transferring calls.
- Calendaring and Hearing Support:
- Manage and maintain office calendars, including scheduling hearings and appointments.
- Coordinate with veteran clients to prepare for hearings through prep calls, post-court calls, and follow-ups.
- Communicate with BVA hearing coordinators to manage scheduling and resolve conflicts.
- Administrative Tasks:
- Conduct intake calls for potential clients.
- Submit documents, update client files, and manage correspondence (emails, voicemails, faxes).
- Use tools like Google Workspace, Clio, and Slack efficiently for case management.
We’re seeking a candidate who is:
- Confident and Assertive: You should not be shy, timid, or easily intimidated. This role requires someone comfortable handling challenging situations with professionalism.
- Organized and Detail-Oriented: Able to juggle multiple tasks while maintaining accuracy.
- Tech-Savvy: Must have strong computer skills and the ability to quickly learn new programs like Google Workspace, Clio, and Slack. Familiarity with e-faxing and PDF editing is a plus.
- Personable and Patient: Comfortable working with a diverse group of veteran clients who may have unique needs.
- Resilient and Adaptable: Thrives in a fast-paced environment and can handle repetitive tasks with a positive attitude.
- Experience managing high call volumes (70 calls/day).
- Strong written and verbal communication skills.
- Ability to work independently in a quiet, distraction-free environment.
- Familiarity with Microsoft Office Suite, Adobe PDF Editor, and Google Workspace preferred.
- Previous experience as a receptionist or administrative assistant is a plus.
- Working toward an Associate Degree (preferred but not required).
