What are the responsibilities and job description for the Development & Volunteer Coordinator position at Society of St?
The Development and Volunteer Coordinator will serve an important administrative role on the Development Team by ensuring our fundraising donor data is up-to-date and accurate, donations are processed and acknowledged, and provide accurate reporting. In addition, this role will be managing volunteer engagements.
Essential Duties and Responsibilities:
Fundraising and Database Management
- Assist with the implementation of a new donor database platform (Arreva).
- Donation processing and reporting.
- Maintain month-end reconciliation process for ACH, online, and reoccurring donations.
- Create and maintain donor acknowledgments and year-end tax information mailings.
- Create and maintain donor email and mailing lists.
- Manage stewardship mailing lists.
- Assist with events and fundraising activities.
Volunteer Engagement
- Represent SVDP in the volunteer community space (MUW, City of Louisville, events).
- Proactively coordinate In-kind donations based on program needs (through volunteer relationships and drives).
- Promote opportunities to volunteer and recruit new volunteers.
- Work with program managers to identify volunteer needs.
- Follow SVDP’s policies and procedures regarding volunteers including onboarding, training, and compliance.
- Maintain regular contact with volunteers through emails, newsletters, and meetings.
- Engage with the Conference President to support SVDP Conference volunteers.
- Adequate staff OHK with volunteers to assist with dinner and/or holiday events.
- Acknowledge and celebrate volunteers' contributions through thank-you notes, awards, and public recognition.
- Offer support and solicit feedback from volunteers about their experiences and use this information to make improvements.
- Maintain accurate records of volunteer hours, activities, and personal information. Ensure compliance with any legal or organizational requirements regarding volunteer data.
- Other projects as assigned.
Specific Knowledge, Skills, Abilities:
- Skilled in Donor Database Administration
- Knowledge of basic Accounting
- Possess good organizational, verbal, and written skills
- Must be attentive to detail, dependable, and able to follow standard procedures
- Must be able to work independently and meet deadlines
- Ability to communicate effectively with staff, donors, and partners
- Ability to maintain a positive, professional attitude
