The International District Community Center (IDCC) is seeking a friendly, organized, and customer-focused Welcome Desk Representative to serve as the first point of contact for visitors, staff, and community members. This role is vital to ensuring a positive experience at IDCC, reflecting our mission to empower, uplift, and strengthen our community. The Welcome Desk Representative will work closely with the Executive Director and other team members to support the daily operations of the organization.
Position: Full-time employee working onsite with opportunities for growth.
Essential Duties and ResponsibilitiesCustomer Service and Visitor Engagement:
- Greet all visitors warmly, providing a welcoming and inclusive environment.
- Serve as the face of the organization by answering questions about IDCC’s programs, events, and services.
- Direct visitors to the appropriate staff members, resources, or locations within the Center.
Administrative Support:
- Maintain an organized front desk, ensuring the space is clean, professional, and well-stocked with materials.
- Answer and route phone calls, emails, and messages promptly and accurately.
- Assist with scheduling appointments, managing the organization’s calendar, and supporting program registration.
- Provide administrative support to the Executive Director and other staff as needed.
Community Engagement and Advocacy:
- Share information about IDCC’s mission, events, and opportunities with visitors.
- Build and maintain positive relationships with community members and stakeholders.
- Collect feedback from visitors to help improve services and programs.
Operations and Facility Management:
- Monitor the security of the Welcome Desk area and maintain compliance with visitor protocols.
- Ensure proper functioning of office equipment and report maintenance issues to appropriate personnel.
- Manage the inventory of office and program materials, coordinating supply orders when necessary.
Qualifications, Education and Experience:
- High school diploma or equivalent required; some college education preferred.
- Experience in a customer-facing role, such as receptionist, administrative assistant, or customer service representative, is preferred.
Skills and Abilities:
- Excellent communication skills, with a friendly and professional demeanor.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Proficiency in using office equipment and technology, including Microsoft Office Suite and basic scheduling software.
- Ability to engage with diverse groups and maintain a positive, solution-oriented attitude.
- Bilingual or multilingual skills are a plus, reflecting the diversity of our community.
