Position Overview
The Maintenance Coordinator is a hybrid role supporting property maintenance operations in the Tidewater markets. This role is integral in coordinating both preventative and reactive maintenance, managing service requests, and maintaining seamless communication with owners, guests, and vendors.
The successful candidate will possess exceptional organizational skills, a proactive mindset, and a commitment to providing exceptional service. Your ability to prioritize maintenance requests and foster clear communication will be key in enhancing guest satisfaction and protecting owners’ assets.
Key Responsibilities:
Preventative Maintenance Coordination
- Manage the preventative maintenance calendar, ensuring timely completion of scheduled tasks.
- Collaborate with in-house technicians and third-party vendors to perform routine inspections and services.
- Track and document preventative maintenance activities to maintain compliance and asset longevity.
Service Request Management
- Receive, assess, and prioritize maintenance requests based on urgency and impact to guests and owners.
- Assign tasks to appropriate vendors or technicians and oversee resolution.
- Maintain transparent communication with guests and owners, providing updates and managing expectations.
Vendor Coordination
- Schedule repairs, inspections, and maintenance with approved vendors, ensuring adherence to timelines and quality standards.
- Monitor vendor performance and review invoices to ensure accuracy and budget compliance.
Documentation & Reporting
- Maintain comprehensive records of maintenance activities, expenses, and vendor details.
- Generate performance reports, identifying areas for improvement and success.
Compliance & Standards
- Ensure maintenance activities comply with local regulations, safety standards, and property guidelines.
- Monitor inventory levels of maintenance supplies and re-order as needed.
Guest & Owner Relations
- Serve as the primary point of contact for maintenance-related inquiries.
- Provide proactive updates to guests and owners, ensuring issues are addressed swiftly and professionally
- Address concerns or complaints with professionalism, escalating issues when necessary.
Key Performance Indicators (KPIs):
- Timeliness: Percentage of preventative maintenance tasks completed on schedule.
- Resolution Speed: Average time to resolve maintenance requests.
- Guest & Owner Satisfaction: Positive feedback scores on maintenance-related issues.
- Vendor Performance: Adherence to agreed timelines and quality standards.
Qualifications:
- Proven experience in property management, facilities coordination, or a related field.
- Strong organizational and time management skills, with a focus on balancing multiple priorities.
- Excellent communication and interpersonal abilities to foster positive relationships.
- Proficiency with property management systems and remote collaboration tools.
- A basic understanding of building systems (e.g., HVAC, plumbing, electrical) is a plus.
- Ability to work independently and make informed decisions in a hybrid environment.

Job Type: Full-time
Pay: $15.00 - $17.00 per hour
Expected hours: No less than 40 per week
