Soka University of America is currently seeking qualified candidates for a full-time Assistant to the Office of Alumni Relations position.
Under the general supervision of the Director of Alumni Relations, the Assistant to the Office of Alumni Relations is responsible for assisting in the planning and execution of alumni activities for the university. They will perform essential office-wide support functions, managing communication and outreach, supporting database maintenance, and supervising student workers. The ideal candidate is organized, proactive, detail-oriented, and has a strong commitment to enhancing alumni engagement.
Candidates should demonstrate responsiveness toward and understanding of diverse student backgrounds. The successful candidate will demonstrate a commitment to the university’s mission to develop global citizens. Having the ability and willingness to work collegially is essential, as is an understanding of an interdisciplinary liberal arts curriculum.
Essential duties include but are not limited to:
Support Fundraising and Alumni Events (45%)
- Serve as the operational resource to support and help execute alumni-related events including, but not limited to: Reunions, annual Homecoming, Global Regional Chapter Meetings, on-campus Alumni-Student Exchanges, and other ad hoc events
- Support the OAR Director in planning and communicating logistical details such as promotion, invitations, gifts, ticketing, coordinating day-of support, photography/archive, budget expenses, room and IT/AV equipment reservations, catering requests, housing needs, and other requests
- Manage the Small Conference Center reservations and coordinate with Events & Conferences to confirm accommodations, payment, and facility preparation
- Support fundraising and development campaigns in coordination with the OAR Director, Development Office and the Sohokai Board
- Develop innovative programs and initiatives to enhance alumni engagement, foster community, and instill the values of global citizenship amongst alumni
- Increase alumni giving through engagement and developing clear pathways to include recent graduates in alumni activities
Administrative Duties (40%)
- Serve as a secretariat to the Alumni Board which includes taking meeting minutes and ensuring all tasks are executed in a timely and efficient manner
- Maintain up-to-date alumni information on Slate
- Manage the process to create and execute a communication plan to alumni members
- Update university website pages pertaining to alumni/donors
- Manage and execute alumni leadership elections including, but not limited to: Alumni Board of Representatives and Class Representatives
- Coordinate with our Social Media Manager to oversee all alumni social media accounts, including but not limited to: Facebook, LinkedIn, and Instagram
- Manage and administer the annual alumni survey, analyze results, present findings and actionable items
- Manage Sohokai inventory
- Any additional administrative and operational tasks as requested by the Director of Alumni Relations
Manage Student Workers (15%)
- Hiring, training, scheduling and coordinating the work of student employees, including both regular and seasonal staff
- Other functions may be assigned as needed by the Director of Alumni Relations
Qualifications:
Education
- Bachelor’s degree required, preferably in Communications, Marketing, Business Administration, Public Relations, or a related field
Experience
- Two years of relevant work experience in areas such as development, alumni relations, event planning, fundraising, marketing, communications, or a related area
Competencies/Skills
- Ability to successfully work under pressure, meet deadlines, provide quality customer service and handle multiple demands efficiently
- Ability to effectively use a variety of software applications and manage databases and budget
- Ability to meet the needs and requests of diverse university offices, constituency groups and individuals
- Ability to interact in a confidential manner with internal and external constituents
- Ability to handle complex financial arrangements with individuals both internal and external to the university
- Excellent oral and written communication skills
- Strong project management and consultative skills, including the ability to work independently and collaboratively and manage multiple projects
- Strong leadership and organizational skills
- Ability to create, edit and publish publications both digital and print
- Proficiency or ability to learn computer systems utilizing databases, word processing, graphics, spreadsheets, to include MS Word, MS Excel, MS Outlook, Oracle Solutions PeopleSoft (CRM tool), Slate, Workday, MailChimp, Handshake, Canva, and adaptability to other software as required
- Excellent analytical and problem-solving skills
- Demonstrate high level of cultural understanding
Soka University of America offers excellent benefits. Salary range for this position is $45,000.00 to $50,000.00 and will be commensurate with qualifications and experience.
