Job Description
Solace Counseling is an outpatient counseling office that provides an inspiring, professional, and collaborative culture for employees and clients to show up as their best selves, so they can go home and be their best selves. We offer outpatient therapy for children, adolescents, adults, individuals, couples, and families, in the Fargo community.
We are looking for a Front Office Team Lead/ Billing Specialist to undertake a variety of day-to-day office and clerical tasks and oversee a small and intimate admin team of 3 others. This position will encompass both leading the administrative team and being the lead on medical billing.
You will be an integral part in ensuring that our office operations run smoothly and have a pivotal role in client healing. An excellent Front Office Team Lead is, above all, a high achieving, dependable, organized and competent professional leader with phenomenal communication skills. You must be comfortable dealing with people and able to carry out administrative duties with accuracy, speed, and a "can-do" attitude. The goal is to ensure that office operations are efficient and add maximum value to the organization.
This is a Full-Time 40 hour per week position.
Team Lead Responsibilities:
- Oversee, schedule, and train a small admin team of 3 other individuals.
- Have foresight to identify policies and procedures that are needed to maintain consistency in office.
- Responsible for the overall wellness of the office and admin team.
- Assist CEO with administrative tasks as needed to include: detailed time and attendance tracking, organizing meeting and agenda, new hire interview setup and preparation, point of contact for others scheduling meetings with CEO, occasional off site running of errands, creating documents/spreadsheets, and other tasks as assigned.
- Create and implement a memorable welcome for all clients entering the office
- Ensuring scheduling practices are maximized.
- Have an understanding of each provider's individual skills and abilities to easily make scheduling decisions and recommendations to clients.
- Ensure emails and faxes are being received, sent, and responded to within 24 hours.
- Assist with billing procedures when Billing Assistant is out of the office
- Assist with admin procedures when admin is out of the office
- Assisting therapists with completing forms, creating documents, and creating processes for the clinic
- Opening and/or closing the clinic
- Other duties as assigned
Billing Specialist Responsibilities
- Ensure copays and no show fees were collected.
- Push billing forward for the sessions from 2 days prior.
- Input remits within 24 hours of receiving them.
- Follow up on denied claims within 48 hours of receiving them.
- Check the payment plan schedule and charge any payment plans that are scheduled
- Pull insurance verifications.
- Track overdue balances and mail out monthly statements to clients.
Qualifications:
- Medical billing knowledge is preferred but not required. We will train on medical billing.
- Highly dependable as you will be the main point of contact in this position and responsible for leading two other team members.
- Proficient computer skills and experience using Microsoft Office.
- Excellent organizational skills and the ability to multitask.
- Attention to detail and accuracy are vital.
- Strong customer service and interpersonal skills.
- Ability to work independently.
- Previous front desk, reception/receptionist, administrative assistant, or office experience preferred.
- An interest in the mental health/counseling field.
