What are the responsibilities and job description for the Strategic Event Planner position at Solari Creative?
Solari Creative is seeking a Conference Planner for a full time position located at Aberdeen Proving Grounds, Maryland.
- A minimum of five (5) years relevant experience specific to government and international meetings required
- US Citizenship and current Secret Clearance or having held one during the last two years
- A Bachelor's degree from an accredited college or university is required
Responsibilities
- The selected individual will be required to assist in following a pre-determined marketing plan in order to achieve the desired corporate objectives of a major U.S. Army Command. You will be working closely with many government customers including management, engineers and senior level military leaders along with multiple design and manufacturing individuals in a concurrent team environment. You may be required to work with conference sponsors in regards to exhibit format, set-up/tear down, speakers, registration, attendees, VIPs, badging, etc. In addition, you will be assisting in the coordination of logistics associated with conferences including scheduling, food, entertainment, audio visual, vendor services, ground transportation, seating, reserving meeting rooms, tracking attendees requirements, etc. You will also be required to assist in responding to any pre-show and at-show problems and issues which may arise. Travel may be required.
- Prepare and provide draft and final reports relating to event planning and assist with the preparation, review and update of documentation, procedures, planning and projects
Typical Tasks may include:
- Providing general administrative and logistics support to conference team
- Preparing administrative, conference-related documents and correspondence
- Proofreading and formatting documents, such as meeting invitations, confirmations, and thank-you letters and logistics fact sheets
- Preparing guidelines for reimbursements, posters and exhibits, preparation of abstracts, speaker facilitation
- Preparing agendas and/or programs
- Assisting in tasks such as mailing, collating and coordinating mail-outs, stuffing of folders and nametag printing and placement
- Staffing onsite registration desk
- Providing onsite conference support
- Recommending measures to improve methods, performance, and quality of product or service, and suggests changes to increase efficiency
- Provides general administrative and logistics support to conference team

Requirements:
- Clearly and effectively communicate Senior Leadership requirements and needs to the creative team for the development of event websites, signage and other marketing material supporting the event.
- Strategize with the team on developing innovative marketing strategies for all events to ensure event success.
- Maintain organized records of all conference attendees
- Build and maintain strong relationships with vendors and customers within the DoD community
- Ability to interact and communicate effectively with all levels of the organization.
- Ability to manage multiple projects and meet tight deadlines.
- Ability to quickly conceptualize and implement ideas.
- Must be able to obtain and maintain a SECRET security clearance
- Must be a US citizen
- Travel may be required
Job Type: Full-time
Pay: $80,000.00 - $95,000.00 per year
