Position Overview:
We are seeking an Office Manager with a strong background in administration, who is a natural multitasker, a self-starter, and an enthusiastic team player. This individual will play a pivotal role in supporting the CEO and VP of Systems and Ethics while ensuring smooth daily operations across various departments within our company. Key Responsibilities:
- Administrative Support:
- Provide general administrative assistance to the CEO and VP of Systems and
Ethics.
- Coordinate and manage calendars, schedule meetings, and assist with travel
arrangements.
- Handle email correspondence and prioritize communication effectively.
- Support Task Management and priorities for the CEO and VP of Systems and
Ethics.
- Monitor and confirm system logistics and documentation for client onboarding to
ensure data hygiene.
- Financial Administration:
- Work closely with the Accountant to sort, categorize, and process financial
transactions.
- Assist in supporting cash flow management and other financial tasks as required.
- Marketing & Creative Support:
- Assist the Marketing team by managing merchandise ordering and other creative
requests.
- Coordinate logistics for promotional materials, ensuring timely and efficient
delivery.
- Searching for and supporting logistics for PR opportunities for the Company.
- Research and present Marketing resources for projects as needed.
- Office Operations:
- Maintain and organize office supplies and inventory, ensuring a well-stocked and
functional workspace.
- Oversee general office maintenance and create a productive environment for all
staff.
- Support with onboarding new employees.
- Lead Funnel & Sales Support:
- Monitor and Audit leads coming in to ensure data hygiene.
- Report conversion metrics per stage within Sales Lead Pipeline in order for
leadership to make decisions around Marketing efforts and the Acquisition
Process.
- Miscellaneous Tasks:
- Manage other ad-hoc tasks and projects as directed by the CEO, VP of Systems
and Ethics, or other department leaders. This may include local travel for
administrative errands.
- Provide general office support for any other miscellaneous administrative needs.
Qualifications:
- Proven experience in administrative roles, preferably in a fast-paced or growing
business.
- Excellent multitasking skills with the ability to handle diverse responsibilities effectively.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a collaborative team.
- Strong communication skills, both written and verbal.
- Proficient and enjoys learning about general office software, technology, and equipment such as: Google Suite tools, Excel/Google Sheets, Quickbase or similar project management software.
- Ability to adapt to a constantly evolving work environment.
- Prior experience in sales, marketing, or customer service is a plus, but not required.
- Knowledge or interest in the solar industry is a plus, but not required.
