Role Overview: The Family Concierge and Executive Assistant will manage personal, professional, and household responsibilities. From scheduling, meeting follow ups, event planning, new idea exploration, school pick-ups, and coordinating home services, this role is ideal for a resourceful and versatile individual who enjoys variety in their day-to-day work.
**Administrative Support**
- Manage calendars and schedule meetings, ensuring alignment with family and professional priorities.
- Follow up on action items from meetings and maintain clear communication with stakeholders.
- Conduct research and explore new ideas or opportunities that align with family and business goals.
- Organize and maintain files, both physical and digital, ensuring information is easily accessible.
- Support light bookkeeping and record-keeping tasks as needed.
- Draft and review correspondence, presentations, and other documents as requested.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Act as a point of contact for vendors, clients, and other external parties.
**Creative Projects**
- Design promotional materials, event invitations, and other creative tasks using Canva or similar tools.
- Create and make PowerPoint presentations “pretty”
- Bring fresh ideas to enhance family and business projects.
**Household Management**
- Coordinate household services, including cleaning, maintenance, and vendors.
- Organize schedules for the family, including appointments, activities, and events.
- Handle occasional overnight responsibilities, ensuring the home and family needs are met.
**Childcare Support**
- Provide school and activity pick-up/drop-off for two daughters, aged 11 and 12.
- Assist with school projects, scheduling extracurricular activities, and managing logistics.
**Event Planning & Coordination**
- Plan and execute personal and professional events, including logistics and vendor communication.
- Provide creative input for event themes, design, and execution using tools like Canva.
**General Support**
- Run errands, manage purchases, and ensure all tasks are completed promptly.
- Be a proactive problem-solver, handling tasks as they arise.
Qualifications
- Previous experience in a similar role (e.g., executive assistant, event planner, operations manager).
- Exceptional organizational and multitasking skills.
- Strong creative skills, including proficiency with Canva or similar tools.
- Ability to manage both professional and household responsibilities with ease.
- High-energy, positive attitude, and a flexible, team-oriented approach.
- Clean driving record and reliable transportation.
- Willingness to handle occasional hands-on tasks and 'dirty work.'
- Availability for occasional overnights and fluctuating hours during special events.
