About the Role
As the Payroll and Benefits Specialist you will serve as the primary point of contact for payroll, benefits, and onboarding inquiries, you will ensure accuracy, confidentiality, and compliance in all processes. Reporting to the Manager of People Operations, you’ll also contribute to impactful projects that enhance our operations and employee engagement.
What you’ll do
- Manage complex payroll systems and processes for the business, Including exempt and non-exempt employee populations
- Oversee the administration of all employee benefit programs at SonderMind and act as the main point of contact for any benefit-related inquiries.
- Assume full ownership over UKG administration and ensure all necessary reporting to support business and stakeholder requirements.
- Manage the employee onboarding experience. This involves ensuring that employees are logistically prepared for success from day one and serving as a company representative during their onboarding experience.
- Regular audit and refinement of our benefits packages to keep SonderMind competitive in our respective landscape.
- Identify areas for automation and process efficiency to reduce errors, streamline workflows, and improve the overall employee experience.
- Ensure compliance with local, state, and federal regulations.
- Complete internal audits to ensure compliance with labor laws, tax regulations, and benefits administration.
- Prepare reports for senior leadership and key stakeholders (e.g. finance, accounting) as needed
- Analyze payroll and benefits data to provide insights to key stakeholders. This may include workforce cost analysis, benefit usage trends, and cost-saving opportunity recommendations.
- Negotiate with vendors and broker providers and ensure alignment of spending with company goals.
What does success look like?
Week 1: Familiarize yourself with UKG, HR systems, processes, and benefits. Establish ownership of all accounts and required reporting permissions and rights. Engage with key stakeholders across finance, HR and accounting.
Week 2: Depending on the timing for the next paycycle, audit and reconcile employee data, familiarize yourself with payroll procedures and ensure accurate payroll and benefits setup. Familiarize yourself with the onboarding flow and experience to prepare for taking over ownership.
Month 1: Fully own UKG administration, develop understanding of reporting capabilities in UKG, and audit existing SOPs for accuracy (onboarding/offboarding payroll, and benefits setup). Begin delivering payroll and benefits training for new hires. Assume ownership of payroll end to end and complete month-end reporting needs for the organization.
Who You Are
- 5 years of experience in payroll and benefits management
- Deep understanding of benefits programs, including health insurance, retirement plans (e.g., 401(k)), leave policies, and vendor management expertise.
- Strong grasp of tax laws, labor laws (e.g., FLSA, ACA, HIPAA, COBRA, GDPR), and payroll-related legislation.
- Strong analytical and problem-solving skills
- Excellent leadership and communication abilities
- Exceptional level of attention to detail
- Certifications such as CPP (Certified Payroll Professional) or CEBS (Certified Employee Benefit Specialist) are preferred

The anticipated salary rate for this role is between $88,000 - $110,000 per year.
