The Landscaping Office Manager plays a crucial role in overseeing the administrative, financial, and operational tasks of a landscaping company. This position requires excellent organizational skills, the ability to manage office tasks, and a strong understanding of the landscaping industry. The ideal candidate will ensure smooth office operations, support the management team, and assist with scheduling, client communications, invoicing, and more.
Key Responsibilities :
Administrative Support :
- Answer phone calls, emails, and in-person inquiries from clients, vendors, and employees.
- Manage office supplies, equipment, and filing systems.
- Organize and maintain customer files, contracts, and service records.
- Assist with payroll and employee timesheets.
Client and Vendor Relations :
Schedule appointments and site visits for the landscaping team.Communicate with clients regarding project updates, invoices, and service schedules.Coordinate with suppliers and vendors for materials and equipment.Scheduling & Operations :
Create and maintain work schedules for landscaping crews.Coordinate and ensure timely completion of landscaping projects.Track service requests and project timelines to ensure deadlines are met.Financial Management :
Prepare and send invoices to clients, follow up on overdue payments.Assist in budgeting, cost tracking, and expense management.Monitor project costs and ensure they align with the budget.Human Resources :
Assist with hiring, onboarding, and training new employees.Maintain employee records and track performance.Ensure compliance with company policies and procedures.Office Systems & Technology :
Manage office software, including CRM and scheduling tools.Maintain accurate records in digital systems and databases.Help implement new office technologies to improve efficiency.Marketing and Business Development :
Assist with marketing efforts, including social media, advertising, and customer outreach.Help generate quotes and proposals for prospective clients.Maintain positive client relationships to encourage repeat business.Qualifications : Experience :
Prior experience in office management, customer service, or administrative roles, preferably in the landscaping or construction industry.Skills :
Strong organizational and multitasking skills.Proficient in Microsoft Office Suite (Excel, Word, Outlook).Knowledge of landscaping services and terminology is a plus.Excellent verbal and written communication skills.Education :
High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration, Management, or a related field preferred.Compensation : $25 to $28 an hour
