As a Facilities Coordinator, you will assist in overseeing the maintenance and management of all Sono Bello facilities nationwide. This role requires a meticulous individual with strong organizational skills and the ability to handle multiple projects simultaneously. You will work closely with internal teams and external vendors to ensure our facilities meet the highest standards of safety, cleanliness, and efficiency.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Coordinate regular preventative maintenance of facility infrastructure for designated locations, including HVAC systems, plumbing, electrical systems, and building structures.
- Manage repair schedules and coordinate tasks to address issues promptly and minimize facilities downtime, leveraging both internal and external resources as necessary.
- Track the completion of work orders submitted to property managers and follow up as necessary to ensure timely resolution of maintenance issues.
- Monitor the satisfaction of work completed by property managers, gathering feedback from internal stakeholders and addressing any concerns or discrepancies.
- Identify, onboard, and manage relationships with external vendors and service providers, ensuring they meet our standards for quality and reliability.
- Negotiate contracts and service agreements to secure competitive pricing and favorable terms for facility maintenance and repair services.
- Monitor vendor performance and address any issues or concerns to ensure service delivery meets our expectations.
- Assist in the management of the facilities budget, including forecasting expenses, tracking costs, and identifying opportunities for cost savings.
- Route invoices and track expenditures related to facility expenses, ensuring accuracy and compliance within budgetary guidelines.
- Demonstrate excellent customer service skills when interacting with internal stakeholders and external vendors, ensuring a positive and professional experience.
- Foster positive relationships with Sono Bello field staff, exhibiting empathy, patience, and professionalism in all interactions.
- Promote a culture of open communication and collaboration between the facilities team, internal stakeholders, property managers, and external vendors to foster a sense of teamwork and shared responsibility for facility management.
- Ensure compliance with all relevant regulations, codes, and standards governing facility operations, including OSHA regulations, ADA requirements, AAAHC standards, and environmental guidelines.
- Maintain accurate records and documentation related to facility maintenance activities, including work orders, inspection reports, and equipment manuals.
- Communicate effectively with stakeholders to keep them informed of facility-related updates and address any concerns or inquiries promptly.
REQUIRED SKILLS AND ABILITIES:
- 3 years of experience in facilities management, property management, or related role, preferably in a multi-site environment.
- Strong technical knowledge of building systems and maintenance best practices.
- Excellent project management skills, with the ability to plan, organize, and execute complex projects on schedule and within budget.
- Proven experience in vendor management, contract negotiation, and cost control.
- Familiarity with relevant regulations and standards governing facility operations and maintenance.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external stakeholders.
- Proficiency in Microsoft Office Suite, Smartsheets and experience with various CMMS software. Experience using Freshworks/Freshservice a plus.
WORK ENVIRONMENT:
Work onsite at the Corporate Office in Bellevue, WA a minimum of 3 days a week.
TRAVEL REQUIREMENT:
This role requires nationwide travel based on business needs.
COMPENSATION:
This is a Non-exempt position with an hourly range of $27.00 - $33.00/hour, depending on experience.
