Job Description/SummaryProvides customer service and support for the Medicinary.
The Medicinary Assistant supports or is directly responsible for the following:- Medicinary assistants must possess great attention to detail since patient’s health is at stake
- Correspond with physicians and patients upon receipt of a new prescription.
- Validate prescriptions received: check that the required information is on prescription sheet, check to make sure that medicines requested are available
- Follow up with physicians regarding questions about prescriptions and treatment plans if they are unclear
- Accurately fills all order requests in a timely manner, this includes botanical tinctures, homeopathic medicine, Chinese herbal products and bulk herbs as prescribed
- Verify doctor’s license to dispense medication
- Check prescriptions for accuracy prior to dispensing and fill herbal tinctures and bulk herbs according to written prescriptions
- Accurately enter patient prescription information into Laserfiche. Maintain database of current prescriptions
- Successfully work with and within a team
- Provide excellent customer service by greeting everyone as they enter the Medicinary
- Assist customers by answering phones, filling orders, helping customers find products and answering general questions about products without giving medical advice
- Accurately and promptly handle financial transactions which include cash, check, gift cards and credit card processing
- Establish and maintain customer profiles, including history of supplement purchases and prescriptions filled
- Accurately process all special orders: take payment, fill out paperwork completely, verify correct brand and size requested. Notify patients when product is ready for pick up
- When necessary, escalate issues through appropriate channels to ensure prompt and satisfactory resolution to the customer and Sonoran University Medicinary
- Maintain proper storage and security of medicines
- Maintain required certification and competencies of HIPAA, OSHA, FERPA, etc.
- Ensure proper and careful storage of patient information. Properly dispose of trash containing personal information to maintain HIPAA compliance
- Clean and help maintain equipment and work areas, sterilize the counter tops, scales and other medication measuring devices according to prescribed methods
- Maintain a safe and clean Medicinary by complying with procedures, rules and regulations
- Protect patients, customers and employees by adhering to infection control policies and procedures
- Receive all incoming products and properly document the quantity received on the packing slip, or invoice. Sign and date the packing slip or invoice when product is received. Notify Manager of any discrepancy or damages to the order
- Break down cardboard boxes and packing materials and prepare for recycling
- Stocking and organizing of all products, ensuring FIFO, keeping storeroom organized and clean. Organize storeroom by brands
- Price products and check expiration dates of products during daily procedures of re-stocking, cleaning and maintaining merchandise displays
- Close out register after shift, prepare cash drop and all corresponding paperwork. Report discrepancies, cash overages or shortages to Manager
- Ensure accuracy of daily cash transactions and drawer balance at end of shift
- Assist in performing complete inventories semi-annually
- Complete opening or closing procedures as assigned
- Other duties as assigned
Experience Required
- Computer literacy skills with a working knowledge of electronic healthcare applications
- Must be customer service oriented with excellent communication and people skills
- Excellent phone etiquette
- Ability to be dependable, display a positive outlook and be willing to adapt to changing needs
- Must be self-directed to find tasks that need to be done without being asked
- Familiar with medical terminology, patient confidentiality, HIPAA, FERPA and OSHA laws
- Attention to detail to accurately fill prescriptions and maintain organized inventory
- Excellent communication skills both within the team and with health care provided
- 1 year of retail experience or 6 months of retail experience with Naturopathic medicine or any equivalent combination
- Knowledge of herbs, supplements, natural health care products and services
Minimum Education .
- High school diploma or GED
Desired Education
- Associate degree or equivalent education preferred
Activities are performed in an environmentally controlled office setting subject to extensive periods of sitting, keyboarding and manipulating a computer mouse. Required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling of up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Communicate to perform essential functions.
