Warranty Coordinator
The SOPREMA Warranty Coordinator reviews Project Registrations (PRF’s) for the warranty department, and manages the warranty fee invoicing process by:
1. Reviewing and approving project registrations (PRF’s) for the warranty department.
2. Processing warranty department data and files.
3. Reviewing warranty fees submitted by sales.
4. Invoicing customers for all SOPREMA warranty fees.
Essential Functions and Responsibilities:
- Review and approve project registrations (PRF’s) 2,000 or more per year for all of SOPREMA US
- Support contractors and sales reps by helping register projects in the PRF system
- Coordinate with technical coordinators and customers to resolve PRF errors and complete edits.
- Enter projects into the iPad app to authorize Technical Services reps to complete site visits.
- Request warranty fees by contacting sales reps
- Review fee amount. Request technical and sales management review when fees do not meet department guidelines
- Invoice contractor customers for warranty fees
- Create project warranty files
- Serve as the warranty department contact person for warranty-reated questions
- Complete and maintain warranty department scanning and filing
- Order and maintain inventory of office supplies
- Back-up for Administrative Manager, Warranty Department
- Support plan and complete daily and long term duties to support established priorities
- Collect information on warranty trends the competition for the strategic information and planning
- Participate in regional activities and exchange with regional SOPREMA sales staff and customers to stay in tune with the market by reviewing department surveys and implementing improvements based on customer feedback.
- Develop and maintain a strong relationship with other SOPREMA subsidiaries
- Other responsibilities as determined by the Technical Support Manager.
Minimum Qualifications:
- Associates Degree or relevant experience in warranty administration, preferably for a building materials manufacturing company
- Extensive organizational and communication (written and verbal) skills
- Extensive knowledge of warranty department processes
- Basic knowledge of roofing, building envelope, and construction systems
- Appropriate verbal and written communication skills
- Competent decision making skills along with the ability to find resolution to warranty-related issues
Working Conditions and/or Physical Demands:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
- Limited car and air travel is required
- The Warranty Coordinator can anticipate some irregular hours
- May be required to attend offsite meetings, training meetings, visit construction sites and review material installation from time to time. This requires climbing ladders, descending into trenches and tunnels, must be compliant with all safety procedures at all times. Must wear required personal protective wear at all times.
Reports to the Technical Support Manager.
