Job DescriptionThe Administrative Coordinator is responsible for providing essential administrative and organizational support, ensuring smooth office operations and assisting with various tasks to facilitate the SOS International's mission, in support of the Executive Team.
Core Duties and Responsibilities:
- Executive Support: Manage schedules and calendars, Coordinate meetings, appointments, and events, ensuring timely preparation and follow-up for our Executive Director and Chairman of the Board.
- Prepare documents and correspondence: Draft emails, letters, reports, and other materials as needed, maintaining a professional and organized style.
- Manage communications: Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely and accurate responses.
- Oversee Print Deadlines: Organize and manage print projects with an eye for quality and cost-effectiveness.
- Office management: Oversee service timelines, equipment, and facilities, review contracts/renewals as terms are matured, ensuring smooth operation and organization.
- Assist special projects and initiatives: Provide event support for all special events as a function of supporting the Executive Team. This role will support various projects and initiatives by coordinating tasks, managing timelines and preparing materials.
- Provide logistical support: Support the coordination of people, spaces, and communication within the team, acting as a primary point of contact and reference for daily office operations and employee support. Ensure the office is organized and prepared for meetings and events. Facilitate strong internal communication, particularly when parts of the team are out of the country. This involves providing weekly updates on meetings, tasks, and action items, managing shared calendars, and ensuring meeting spaces are properly set up.
- Hospitality and hosting: This role will serve as a key point of contact for partners, visitors and donors. Additionally, they will help host meetings and special events ensuring spaces are ready, refreshments are prepped and everything is in place.

Qualifications:
- Strong administrative and organizational skills: Ability to manage time, prioritize tasks, and maintain accuracy and attention to detail.
- Excellent communication skills: Ability to communicate effectively both verbally and in writing.
- Proficiency in Microsoft Office Suite: Expertise in Word, Excel, PowerPoint, and Outlook.
- Proficiency with the Google Suite including Managing Google Calendars
- Familiarity with nonprofit software and systems: Knowledge of common fundraising, grant management, and database software.
- Strong interpersonal skills: Ability to interact professionally with a wide range of people.
- Ability to work independently and as part of a team: Adaptability and willingness to take initiative.
- 3-5 years of Church or ministry experience, can be in the capacity of a volunteer.
