- Managing calendars and coordinating availability for internal meetings and meetings with advisors.
- Organizing Zoom vs. phone meetings with appropriate setups.
- Sending meeting reminders, confirmations, and follow-ups.
- Aligning schedules with key stakeholders to minimize conflicts.
- Coordinating internal meetings related to recruiting efforts.
- Tracking and adjusting schedules to accommodate last-minute changes or cancellations.
- Sending concise meeting recaps and outlining next steps.
- Collaborating with recruiters and business development to maintain engagement with advisors.
- Providing clear and timely responses to inquiries from internal teams and advisors.
- Ensuring advisors receive all necessary documentation, such as meeting agendas and relevant materials.
- Assisting in the onboarding process by coordinating initial meetings and introductions.
- Maintaining a professional but personable communication style that reflects company culture.

- Utilizing Microsoft Office (Outlook, Excel, Word, PowerPoint) and ChatGPT for scheduling and communications.
- Supporting the implementation of streamlined recruiting processes and tools.
- Ensuring proper documentation and filing of recruiting-related communications.
- Tracking and reporting key recruiting metrics, such as meeting completion rates and advisor engagement levels.
- Helping refine and automate scheduling workflows to improve efficiency.
- Ensuring confidentiality and compliance with data privacy regulations in advisor management.
- Organizational Skills – Ability to manage multiple priorities, track details, and keep schedules running smoothly.
- Calendar & Scheduling Expertise – Proficiency in coordinating complex meeting schedules across multiple stakeholders
