Type: Part-Time *Tuesdays, Thursdays, and Fridays* 11am to 8pm (one hour break inclusive)
Job Summary:
Sound Wellness Center is seeking a dedicated, friendly, and organized Office Assistant to join our outpatient behavioral health team. The ideal candidate MUST have experience working in a medical office environment, with a preference for individuals who have worked in mental health clinics or have pharmacy-related experience.
The candidate must demonstrate a respectful, positive attitude, be a fast learner, and adapt quickly.
EHR: Tebra (Kareo) (Electronic Health Record system)
Responsibilities:
Front Desk Operations: Greet and check in patients, answer phone calls, and manage appointment scheduling with professionalism and empathy.
Patient Coordination: Assist with the patient check-in/out process, provide answers to patient inquiries, and facilitate smooth communication between patients, clinicians, and external providers.
Medical Records & Compliance: Manage patient records, file/upload documents, and maintain organized medical files with clinic policies and regulatory standards.
Prescription Management: E prescription proxy, coordinate with pharmacies to complete prior authorizations, and clinical staff regarding patient prescriptions, refills, and medication-related inquiries.
Insurance and Billing Assistance: Communicate with Clinic Billing team to get insurance verification/benefit details for patients, and billing-related tasks as needed.
Office Administration: Handle office inventory, and support general administrative tasks to maintain clinic efficiency.
Qualifications:
Education: Must have High school diploma
Medical Office Experience: A minimum of 1.5 years working in a medical office environment, with experience in behavioral health or pharmacy-related settings preferred.
Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with patients, staff, and external providers.
Technology Proficiency: Experience using Tebra or other EHR systems, Microsoft Office Suite, and familiarity with platforms.
Customer Service: Strong patient-centric approach with a friendly and professional demeanor.
Organizational Skills: Ability to prioritize, multitask, and manage time efficiently in a fast-paced healthcare setting.
Fast Learner: Quick to adapt to new technologies, systems, and procedures.
