SUMMARY STATEMENT: Provides high level of customer service to SC Bar members by managing publications inventory, office sales of publications, shipping, processing hard returns of publications. Administrative duties to support CLE Publications including Committee meetings and trade shows set-up and attendance, proof-reading of materials, maintaining royalty files and general publications office support. Responsible for general CLE administrative assistance and providing customer service to members.
RESPONSIBILITIES AND DUTIES:
INVENTORY/OFFICE SALES/CUSTOMER SERVICE
- Enter publications inventory into ClearVantage system.
- Take publications orders, via phone, email and walk-ins.
- Serve as primary point of contact for walk-in customers with publications inquiries or orders; retrieve publications purchases for walk-in customers.
- Pack and ship all publications orders; prepare publications orders for customer pick-up.
- Provide customer service regarding the status of orders, production status or general content of new or upcoming publications products; assist customers with navigation of publications online store, downloads, and creation of Clear Vantage Accounts
- Enter, upload, and post selected seminar handout materials in the ClearVantage system for member download.
SHIPPING
- Accurately record all UPS shipping costs and charges for publications products; monitor and report internal department shipping chargebacks to the Financial Director; generate all publications shipping papers, receipts, and UPS records.
- Coordinate with the Distance Education Director and CLE Registration Coordinator to obtain a list of seminar attendees needing included publication shipped.
ADMINISTRATIVE DUTIES
Publications
- Assist CLE Publications Director with publications marketing and proofreading of marketing materials and books to include review of book table of contents and indexes for accuracy.
- Set-up and staff book displays during CLE seminars.
- Manage publications inventory by performing periodic inventory counts. Assist Financial Director with end-of-year audit count.
- Coordinate with CLE Publications Director to ensure that publications supplies, inventory, work/storage spaces and display areas are well-organized and adequately maintained.
- Serve as primary point of contact for publications inventory deliveries; verify quantity received.
- Attend and staff as requested trade shows, CLE seminars/functions, and any other special programs.
- Serve as a liaison with printing companies regarding reorders.
- Administrative duties related to Publication Committee meetings.
- Create and maintain publication author royalty files.
GENERAL
- Assist the CLE Division with administrative duties and miscellaneous projects (filing, scanning, correspondence, customer service calls, etc.) as needed.
- Other duties as assigned.
REQUIRED EDUCATION, EXPERIENCE AND SKILLS:
- Bachelor's degree or high school diploma/equivalent with two years' work experience.
- Organized, detail-oriented team player with strong communication and customer service skills.
- Ability to interact positively with volunteers, customers, co-workers and the public.
- Proficiency in word processing and data entry; ability to work at a rapid pace with minimal errors.
- Excellent grammar and follow-through skills.
- Self-motivated, able to work under pressure, meet deadlines, and perform efficiently with minimal supervision.
- Strong time management skills.
- Ability to work overtime as needed.
- Valid driver’s license and proof of insurance for out-of-town travel.
DESIRED EDUCATION AND EXPERIENCE:
- Customer service experience.
- Familiarity with UPS shipping software, scales, inventory systems, and accounts receivable.
PHYSICAL REQUIREMENTS:
- Ability to lift, carry, and move up to 50 pounds.
- Capable of performing physically demanding shipping tasks
- Ability to travel, including overnight stays as needed.
