This position is in the Administration / Facilities Management Unit located at Headquarters, Blythewood, South Carolina.
Responsibilities of the Administrative Coordinator I
- Manages SCDMV Work Order Mailbox and the Facilities Maintenance work order assignment system to ensure work requests are completed within the alloted time. Keeps track of Work Orders.
- Works in SCEIS to create Shopping Carts for Facilities & Inventory Management Departments working with budget to ensure all coding is correct. Ensures that work is completed and performs Goods Receipts.
- Prepares all documents for signatures. Also, works in SCEIS ECC to pull IDT invoices for DPS chargeback billing and prepares spreadsheet for Revenue Accounting.
- Manages Procurement Card reconciliation process for the Facilities / Inventory Management Department.
- Assists Facilities team with projects, provides back up support to the following areas: State Vehicle Fleet management, Capital Improvement coordination projects and will be required to assist the Department during hazardous weather.
- Utilizes extreme confidentiality in updating the HR User Management Log, sends emails to new recipients ensuring they officially account for their assets. This monitoring of employees must be checked (1) time per week.
- Performs other duties as required by manager.
Minimum and Additional Requirements
- A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience. An equivalent combination of education and relevant experience may be accepted with prior approval.
- A bachelor's degree or approved acceptable equivalency of a high school diploma and (5) years relevant program experience.
- A valid SC motor vehicle operator's license
- Knowledge of principles and practices applicable to State of SC Procurement Code.
- Oversees Facilities budgets and prepares associated paperwork.
- Prepares weekly, monthly and annual reports due internally and to other State Agencies.
- Must be well organized and able to communicate effectively orally and in writing.
- Must be able to exceptionally utilize Microsoft Office Suite, SCEIS and other web-based programs to perform job functions.
- Under general supervision, employee should be able to work independently as well as in a team environment.
- Performs complex duties requiring confidentiality/discretion and actively participates in interpreting and applying State law/codes, Agency policies and procedures.
- Position is based at SCDMV Headquarters located in Blythewood, SC.
- Must be able to lift up to 50 pounds.
- Occasional overnight travel may be required.
- Employee will be required to assist the Department during hazardous weather.
- Must be able to work in a fast-paced office environment.
Agency Preferred Qualifications
- Experience with knowledge of governmental fiscal procedures, practices and policies.
