Under the direct supervision of the Director of Operations, the DPT Admin Assistant monitors and performs day-to-day operational activities and functions in the DPT Program that aid in the collective effort of ensuring that policies and procedures are being followed, goals and objectives are met, and that projects are being accomplished efficiently and effectively.
FUNCTIONS AND OBLIGATIONS OF THE DPT ADMIN ASSISTANT
STUDENT MANAGEMENT
· Executes all functions of DPT student enrollment in the CampusVUE system.
· Assists in the creation and maintenance of databases as it relates to the enrollment process.
· Review and process various types of student submissions across various platforms during the admissions, pre-matriculation, and orientation processes.
· Work closely with the Admissions Officer and the Operations Administrator in an organized manor to maintain clear communication for enrollment process and document management.
PROGRAM ASSESSMENT AND MANAGEMENT
· Maintain communication with all levels of administration and faculty, including South College administration, to coordinate and resolve problems and issues relative to the program.
· Provide administrative support to the DPT Program administrators, faculty, and students.
· Complete/assist with meeting minutes as requested.
· Develop and maintain databases as requested. To include the preparation and maintenance of files for data, data entry, and reporting on status of data collection.
· Develop systems and maintain records that provide for the proper evaluation, control, and documentation of assigned activities; prepares a variety of written correspondence, reports, procedures, directives, and other materials.
· Review data for inconsistencies or anomalies that could skew analytical results.
· Assist in streamlining data collection and analysis procedures by presenting ways to enhance efficiency and expressing concerns with processes.
· Manage databases for mailings, surveys, and ongoing correspondence.
· Conduct routine maintenance as needed to ensure data integrity and consistency
· Communicate with Managers about data, data trends, data analysis, etc.
· Assist with department inventory management and organization.
· Assume other duties as assigned by program administration.
ADMINISTRATIVE FUNCTIONS
· Assist with departmental administrative workload when needed.
· Assist in editing and proofreading when needed.
· Other administrative duties as assigned by administration.
· Position is responsible for the Monday through Friday daytime hours of the Parkside campus front desk duties and tasks as assigned by the Administrative Supervisor.
Requirements
QUALIFICATIONS:
- Minimum of two years post-secondary education
- Proven Competency in Microsoft Office Suite
- Proven Competency in database management
- Must be a self-starter with strong organizational & interpersonal skills
- Ability to work independently, work well under pressure, prioritize
