This is a Full-Time 40 Hours Weekly position with the Bureau of Human Resources and Administration's Office of the State Engineer. For more information on the Office of the State Engineer, please visit https://boa.sd.gov/state-engineer/default.aspx.
We are looking for a program assistant with a positive attitude and demonstrated organizational skills to join our team at the Office of the State Engineer (OSE). Successful incumbents will assist Project Managers (PM's) within OSE. Specifically, this position would assist PM's by processing vouchers, reviewing pay applications, maintaining Project Register/Owner Insite software (training on software provided), filling in contract information into templates, routing contracts for signature, and assisting with project documentation and filing documents. Also, the position would monitor contract expenses and notify the PM's if invoices or billings go over the funding amount.
Additional duties include:
- process office payments, code/create non-cash vouchers, and enter payments into the state accounting system;
- create and process purchase requisitions and enter into the state accounting system;
- maintain File Director by keeping the project info up to date and accurate;
- post contracts to open SD;
- assist in maintaining our state webpage;
- assist in maintaining our online bidding platform;
- post documents to project register and/or Owner Insite software;
- ensure final paperwork on projects has been turned in;
- review all work requests for accuracy and assign project numbers;
- assist with the monthly status reports;
- run monthly, quarterly, and yearly project reports;
- help plan and organize the Physical Plant Directors Conference held in June;
- process OSE billings;
- provide backup assistance to the Energy Manager in EnergyCap Program; and,
- maintain and update contacts for each agency.
The Ideal Candidate Will Have:
Demonstrated organizational skills and the ability to stay on task despite repetitive tasks.
Knowledge of:
- Microsoft Office products including Word, Outlook, and One Note.
Skill to:
- review pay applications for general math errors;
- learn new software(s).
Ability to:
- interpret and comprehend program guidelines and procedures;
- communicate effectively and efficiently;
- provide great customer service;
- gather, interpret, report, and use information concerning assigned activities;
- assess process effectiveness and develop changes or alternatives;
- train and provide guidance to staff and service users;
- use personal computers and software;
- conduct research, and compile and analyze data;
- establish and maintain effective working relationships with staff and the public.
