Full time, year-round position to assist in the daily operations of the EMS and Fire Science. Flexible scheduling may include evenings.
Duties and Responsibilities:
- Acts as receptionist for the EMS and Fire Science programs, exhibiting good communication skills and maintaining a friendly, respectful attitude to all College personnel, community resources, students, prospective students, and guests of the College.
- Assists with purchase requisitions and maintains purchase orders.
- Maintains strict confidentiality of any departmental proceedings and student information as per FERPA and HIPAA regulations.
- Accepts student program applications and ensures completeness of required documentation. Registers students for classes as approved by the Director, EMS and Fire Science Programs.
- Works with staff to maintain student records, adjunct instructor files, advisory committee minutes, and assist instructors with clerical duties.
- Performs clerical duties, including, but not limited to, answering telephones, filing, copying, processing mail, organizing and maintaining records, and typing functions.

Serves as payroll liaison for adjunct faculty for EMS, Fire Science programs, including, but not limited to, the following:
a. Preparing and distributing faculty letters of intent and related payroll documents for all departmental adjunct faculty.
b. Providing current instructor listings for academies and other team-taught courses as needed.
c. Submitting monthly payroll certification in an accurate and timely manner, maintaining appropriate documentation for audit purposes. - Assists with preparation, registration and billing; assists in other bookkeeping duties as assigned.
- Assists in scheduling classes and instructional staff.
- Assists in preparation of routine correspondence and reports for state and national accrediting agencies.
- Prepares completer and industry certification lists, and reports completer employment data as required.
- Contributes to unit planning, assessment, and College institutional effectiveness efforts.
- Acts in accordance with local, state, and federal laws/regulations as well as College policies and procedures.
- Performs other duties as assigned.
Job Requirements:
Educational: Associate degree in Office Administration or related area preferred.
Experiential: A minimum of three years of clerical or related experience preferred.
Other: Proficient typing skills and computer literacy in word processing required. Knowledge of electronic spreadsheet and database software desired.
