Position Title: Administrative Assistant
Job Summary: The administrative assistant will provide administrative support to ensure efficient operation of the office. The ideal candidate will be highly organized, detail-oriented, and able to handle multiple tasks simultaneously. Work directly with the Office Manager for daily tasks.
Responsibilities:
1. Coordinate and schedule meetings, conferences, and appointments.
2. Prepare and distribute memos, letters, emails, and forms.
3. Answer and direct phone calls and emails to appropriate parties.
4. Maintain electronic and hard copy filing systems.
5. Assist in the preparation of reports, presentations, and data.
6. Handle sensitive information in a confidential manner.
7. Perform general office duties such as photocopying, and scanning.
8. Assist in the organization of office events and functions.
9. Handle incoming and outgoing mail.
10. Provide administrative support to other departments as needed.
11. Take overflow of sales orders for wholesale customers and enter them into our ordering system.
Requirements:
1. Proven experience as an administrative assistant or similar role.
2. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
3. Excellent organizational and time management skills.
4. Strong verbal and written communication skills.
5. Ability to prioritize tasks and work under pressure.
6. Attention to detail and accuracy.
7. Ability to work independently with minimal supervision.
8. Discretion and confidentiality in handling sensitive information.
9. High school diploma; additional qualification as an administrative assistant or secretary is a plus.
