Arts Administrator and Bookkeeper needed with a love for the arts

The South Haven Center for the Arts is currently seeking an experienced, customer service oriented, and self-motivated individual for a 30 hour-per-week arts administration position. Candidate must have strong organizational, computer and interpersonal skills, and two-plus years bookkeeping experience is preferred. Proficiency in database management, QuickBooks, MS Excel, MS Word is needed, ability to learn is a must. SHCA promotes the arts to all ages, offering classes, exhibitions and events is South Haven, Michigan, with the mission to enrich our community through the arts. This position assists the director in all facets of the organization.

This position works under the guidance of the Executive Director, and collaboratively with staff and volunteers to execute all functions of the Center for the Arts and its programs.

The tasks can roughly be broken into four main categories:

1) bookkeeping support 35%

2) office management/administrative support 20%

3) program/event support 35%

4) facilities support 10%

  • Bookkeeping tasks include: pay bills, prepare bank deposits, enter income, monitor bank account, and keep director aware income and expenses weekly;
  • Prepare general ledger and bank account for monthly reconciliations.
  • Keep financial files organized.
  • Open and close Center for the Arts daily for hours open to public.
  • Front desk duties include answering the phone, greeting visitors, and writing

emails;

  • Administrative duties included opening mail, filing, and data entry as needed;
  • Manage member and donor databases;
  • Along with director, keep track of building and general facility;
  • needs; and vendors such as elevator maintenance, lawn service, internet provider etc.;
  • Perform other duties and undertake special projects as assigned;
  • Set-up and clean for rentals and exhibitions; including setting up chairs and tables, moving art and program supplies.

Preferred Credentials, Skills and Traits:

  • Minimum of two years of progressive experience in accounting, budgeting, bookkeeping, with non-profit organizations a plus;
  • Proficiency in use of accounting software - Quickbooks, and general computer use;
  • Must be able to take initiative, focus in a busy environment, and meet deadlines
  • Solid accounting principles knowledge and documentation skills;
  • High standards of excellence in execution; ability to exercise professional discretion, attention to detail, trustworthiness and exceptional ethics;
  • Demonstrated ability to independently solve problems and communicate clearly with diverse audiences; refer to the Executive Director as needed;
  • Demonstrated experience in using interpersonal, organizational and problem solving skills
  • Demonstrated/documented exceptional customer service skills and professional demeanor are critical to success in this position.

Qualifications:

  • Bachelor’s Degree in related field, Associates Degree plus experience, or relevant professional experience; nonprofit and accounting experience;
  • Strong interpersonal skills and the ability to work with a diverse group of members, visitors, and artists;
  • Self-motivated and well-organized with the ability to work independently and efficiently;
  • Computer literacy, including QuickBooks, Microsoft Word, and Excel, as well as a strong knowledge of Internet resources.

Schedule:

Arts Administrator and Bookkeeper will work Tuesdays through Saturdays, availability for additional evening and weekend hours needed for scheduled events. Starting at 25-

30 hours per week. Pay starts at $16/hr.
