Summary
As a Front Office/Communication Coordinator at South Jersey Skin Care & Laser Center, you will be a vital point of contact for our patients, ensuring a welcoming and positive experience. This role supports our mission to provide outstanding dermatological care while managing office operations effectively.
Responsibilities
- MUST BE ABLE TO WORK most weekdays starting at 7:45 am and work a Tuesday evening shift.
- Greet and assist patients on the phone or in person, ensuring a positive experience.
- Manage phone systems to handle incoming/outgoing calls and schedule appointments efficiently.
- Manage scheduling systems to ensure all appointments are scheduled correctly with the appropriate service, timing and provider.
- Manage insurance systems and confirm and data enter information accurately to ensure patient billing is processed without error or delay.
- Schedule ALL appointment types ( Cosmetic & General) and review the schedule daily and weekly for optimization.
- Have a firm understanding of all services for general and cosmetic treatments, promotional offers and loyalty programs. Additionally, have the ability to communicate with patients, staff, and providers details on services, promotions, and loyalty programs.
- Maintain knowledge of all office policies and protocols.
- Utilize various software and web-based tools to manage office tasks and communications.
- Provide administrative support to medical staff as needed, including managing correspondence.
- Ensure the front office/communication center is clean, tidy, well-stocked and organized for daily operations.
- Handle patient inquiries with professionalism and courtesy, demonstrating excellent interpersonal communication and etiquette.
- Assist in coordinating patient flow to optimize service delivery.
Qualifications
- Proven experience in a medical or busy cosmetic office or administrative role.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and communication skills, both verbal and written.
- Proficiency in Word Suite and general computer literacy is essential.
- Ability to maintain confidentiality and handle sensitive information appropriately.

Pay: $18.00 - $20.00 per hour
