What are the responsibilities and job description for the Northwest Indiana Symphony - Youth Orchestra Manager position at South Shore Arts?
Overview:
The Youth Orchestra manager works with the Youth Orchestra Music Director on music related issues, auditions, and communications with schools, parents and students. The YO Manager works with the musicians and parents handling all non-music related issues, including attendance, finances and trips. Planning two concerts per year as well as a Gala and various fundraising events are also included. Use of social media and office technology is required. Sundays are a requirement, and special events may require extra hours.
Requirements:
This is a year-round position that requires strong organizational skills, strong interpersonal written & verbal communications; strong listening skills; familiarity with Microsoft Office including Word, Excel, and Publisher, and Power Point, plus Adobe PDF, BAND, social media and email platforms, and text messaging; ability to produce mail merges, mailings, labels, tracking payments, etc.
Music major or ensemble experience preferred, as well as database management experience
Personnel Duties
- Attend all Youth Orchestra Activities
- Rehearsals (Sunday from 3-6 p.m. September – May)
- Dress Rehearsals and Concerts (Fall, Spring, Gala, and Side by Side)
- Chamber Ensemble performance at Symphony concerts (pre-concert and intermission)
- Take weekly attendance and track excused/unexcused absences
- Organize annual auditions held in Fall, Winter, and Spring
- Manage publicity, update forms, reserve rooms, prepare music, manage audition schedule
- Coordinate school recruiting visit schedule and/or Director’s Day Events.
- Plan calendar of support for Symphony Summer Music Festival as well as YO Social events such as “Bring a Buddy” days.
- Maintain personnel information (Directory, Rosters, Attendance)
- Communicate weekly with families and student musicians via email updates
- Routinely update Symphony social media with YO events and information
- Attend to correspondence
- Hire Sectional Coaches
- Work with the Symphony Personnel Manager on Side-by-Side concert logistics
- Maintain Student Handbook
- Schedule, organize and run Chamber Ensemble Program
- Organize and lead Parent meetings
- Organize Parent and Student Volunteers for events & activities
Operations Duties
- Communicate all Youth Orchestra activities to the Symphony office
- At direction of Youth Orchestra Music Director, order, copy and distribute music
- Help set, and manage budget throughout season
- Coordinate publicity with the Symphony Marketing Manager including season brochures and performance programs, etc.
- Sell tickets for December and May concerts
- Organize, order and manage YO fundraising efforts including apparel, CDs, and other items.
- Manage and plan orchestra trips (as budgeted and directed)
- Reserve rooms at CVPA and/or other locations for full YO rehearsals, chamber group and sectional rehearsals, concerts and outings
