Reporting to the Chief Technology Officer, the IT Operations Specialist is responsible for ensuring IT best practices are implemented and maintained for overall IT effectiveness. Identify and implement IT process improvements based on ITIL, where applicable. Oversee incident / problem management, change management, IT asset inventory, and other IT processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Providing ownership and oversight of the change management process. Defining the standards and guidelines and chairing the change control committees. Approving, documenting, communicating, and tracking changes and change control schedules.
- Providing ownership and oversight of the IT asset inventory process. Ensuring the inventory stays up to date through periodic reconciliations.
- Managing the IT asset lifecycle, ensuring that assets are on-boarded, tracked, and decommissioned under defined standards. Ensuring inventory changes are made in a timely manner and managing the planned end of support for assets.
- Managing the patch implementation process based on the organizations' patch management standards ensuring the IT team is patching in a complete and timely manner. Monitoring patching levels to ensure compliance. Documenting actions and communicating activities proactively to the team.
- Retrieving and reviewing infrastructure reports and action alerts related to system availability and performance (ex. storage capacity, processor utilization, memory usage, virtual environment alarms, replication, backup). Following up with the IT team on remediation efforts.
- Identifying and compiling reporting from systems, including bandwidth reports and usage on data / voice lines to identify potential shortfalls in bandwidth or excessive usage. Documenting actions and compiling capability and availability metrics for reporting purposes.
- Managing the problem management process. Ensuring problems are documented, monitored, and remediated through root cause analysis.
- Monitoring the incident and problem management processes, looking for opportunities for knowledge sharing and training.
- Developing, compiling, and presenting operational metrics related to systems, applications, and processes within the IT environment.
- Participating in the development and management of risk assessments related to infrastructure, applications, and processes.
- Assuring the accuracy of hardware and software license inventory including infrastructure applications, maintenance agreements, and support plans.
- Providing project support for projects servicing all areas of IT.
- Adhering to the Bank's privacy and data security policies including but not limited to safeguarding of sensitive information and complying with relevant regulations to protect non-public information.

EDUCATION and / or EXPERIENCE
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Must be able to analyze and convert raw data into cohesive, presentable data to be shared with multiple sources upon request.
