POSITION SUMMARY:
The Support Specialist will play a vital role in ensuring excellent customer service for both internal and external customers as they engage in our Youth Development programs (Childcare, Youth Sports and Youth and Government). This Specialist will assist in coordinating registration paperwork and processes, provide expert counsel to parents and families with registration questions and challenges, and provide administrative assistance and support to Site and Program Directors so that they can deliver on the promise of implementing high quality youth programming in our community.

ESSENTIAL FUNCTIONS:
- Administrative tasks to provide excellent customer service for both School Age Childcare and Youth Sports, including answering phone, emails, preparing program materials, scanning/copying/filing, etc.
- Process program registrations, all while maintaining and improving the registration paperwork and process as it relates.
- Create, modify and manage program set up in operating software for Youth Development programs.
- Set up, schedule and cancel program registrations following the policies and procedures and guidelines in place.
- Work with families to process financial assistance applications, while collecting the necessary information.
- Coordinate and compile centralized program supply orders. Manage and control supplies inventory.
- Work a flouting schedule from Monday-Friday to Tuesday-Saturday.
- During youth sports seasons, act as the Site Support on Saturdays at games.
- Support Youth Sports with communication, coach recruitment and communication to families and teams.
- Work with school districts on facility rentals for youth sports. Making sure each site is booked, followed up on, and tracked for cancellations.
- Other duties as assigned.

Qualifications
QUALIFICATIONS:
- A positive, friendly and enthusiastic attitude and ability to quickly build rapport and develop effective relationships with diverse people.
- Ability to quickly analyze customer needs and meet those needs by answering questions or directing questions/calls to the appropriate person.
- Demonstrated ability to work well in a team environment
- Strong organizational skills. Experience successfully balancing competing priorities.
- Be proficient in using email, internet, and other PC-based applications (e.g. Microsoft Office, customer service/tracking applications) with the ability to learn and adapt to new technology.
- Ability to follow procedures and ensure completion of accurate records all while maintaining confidentiality and handling sensitive documents appropriately.

Upon hire:
- South Sound YMCA’s - New Employee Orientation must be obtained within 45-days of hire.
- CPR/First Aid Training must be obtained within 30 days of hire.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This position will require traveling to different locations, leading group discussions in front of large groups, and working in an office that has constant interruptions.
While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, handle or feel objects, tools or controls; reach with hands and arms; climb or balance, stoop, kneel, and talk and hear. Incumbent must be able to move freely and quickly throughout YMCA facilities; communicate effectively with people; and use a computer. The employee must occasionally lift and/or move up to 40 pounds.
Salary : $21
