ACCOUNTABILITIES
Project FF&E procurement of products for SEARHC-wide projects from initial design to installation
Communicate with the client, providing regular status updates and handling any questions or changes.
Coordinate work in the field including interfacing with designers and consultants.
Essential Duties
Develop preliminary FF&E budgets and forecasts (Consumes approx. 15% of the time)
Develop bid proposals, prepare, and process purchase orders (Consumes approx. 10% of the time)
Provide bid comparison reports, forecast and expediting reports (Consumes approx. 10% of the time)
Manage/facilitate the approval process of custom goods with SEARHC leaders, vendors, and interior designers; assist interior designers with alternate selection options (Consumes approx.10% of the time)
Coordinate FF&E delivery with receiving and installation staff (Consumes approx. 10% of the time)
Travel to project site 1-2 times for initial coordination meetings and delivery of FF&E (Consumes approx. 15% of the time)
Help coordinate contract data base for use with Procurement and AP teams (Consumes approx. 20% of the time)
All other duties as assigned. (Consumes approx. 10% of the time)
SCOPE OF IMPACT
Financial Responsibilities
The PA, FF&E is critical in assisting the Assistant Director, Strategic Sourcing with optimizing the over-arching connection to the greater Finance division, maintaining a high-reliability Procurement function with high levels of customer satisfaction, and extending a high-functioning, highly standardized Procurement process to SEARHC entities and affiliates. High level value of trading partner contracts to be serviced by this position are approximately $12-20M annually.
Additional Details:
Education:
High school required.
Some college-level business, supply chain, project management, or architectural design education preferred.
Experience:
5 years’ experience with procurement, supply chain, or commercial FF&E design, healthcare preferred.
Business or contract analysis experience preferred.
MMIS (currently Lawson) experience a plus.
ERP experience – preferably Lawson – preferred.
Knowledge of:
Healthcare contract negotiation and management of high compliance group purchasing agreements.
Eliciting requirements and testing.
Analyzing data to draw business-relevant conclusions and in data visualization techniques and tools.
End-to-end, FF&E planning standards, strategies, and practices.
Business and healthcare equipment and interiors.
Skills in:
MS Office program use
Excellent analytical skills
Speaking to subject matter experts to find out what they want to achieve
Carrying out fact finding tasks into business processes
Analyzing findings and using data modelling methods to help recommend changes and improvements
Explaining the benefits of your recommendations and looking at the potential impact and risks
