    Position Overview:


    Pine Island School District is seeking a highly organized and detail-oriented Administrative Assistant to oversee MARSS (Minnesota Automated Reporting Student System) reporting and provide clerical support to the Special Education Department. This position plays a critical role in ensuring compliance with state and federal reporting requirements while supporting the needs of special education staff and students across the district.

    Responsibilities:


    MARSS/Ed-Fi Reporting (Primary Focus):

    • Maintain and update MARSS coding for special education students districtwide, ensuring data accuracy across Skyward and SpEd Forms systems.
    • Cross-check and reconcile discrepancies between MARSS, Ed-Fi, Skyward, and SpEd Forms regularly.
    • Submit timely MARSS updates for special education student changes (enrollment, services, exits, etc.) and ensure accuracy for critical deadlines like Dec. 1 Child Count and End-of-Year reports.
    • Collaborate with special education staff to resolve reporting issues and discrepancies.
    • Attend MARSS/Ed-Fi training webinars and implement updates as needed.

    Special Education Support:

    • Assist special education teachers in maintaining accurate records, filing paperwork, and managing compliance-related documentation.
    • Oversee special education transportation needs, including communication with transportation providers and invoice reconciliation.
    • Manage student record transfers, tuition agreements, and MARSS coding for open-enrolled, non-resident, and non-public special education students.
    • Support staff with organizing and submitting Personnel Activity Reports (PARs) and Certification Reports for audit purposes.
    • Maintain organized student records, ensure retention/destruction policies are followed, and assist with audit preparations.
    • Other duties as assigned.

    Qualifications:


    • Required:

      • Strong organizational skills and attention to detail.
      • Ability to manage multiple tasks and meet deadlines.
      • Proficiency with Microsoft Office Suite, Google Suite, and data entry systems.
    • Preferred:

      • Experience with MARSS/Ed-Fi reporting processes (training available for qualified candidates).
      • Familiarity with Skyward, SpEd Forms, or other student data management systems.
      • Excellent communication and problem-solving skills.

    Compensation:


    This position is compensated at a beginning rate of $25.17 per hour, in accordance with district guidelines.
