Building Lead Secretary
Purpose Statement
The Building Lead Secretary plays a key role in ensuring the efficient and effective operation of daily building activities by performing a wide range of administrative and office support duties. This position is responsible for facilitating internal communication, coordinating office functions, and serving as a primary point of contact for students, staff, families, and the public.

Hourly Wage: $18.75/hr.

Minimum Qualifications:
- High school diploma or GED required
- Demonstrated strong communication skills, both verbal and written
- Proven ability to build and maintain positive relationships with students, staff, and the public
- Proficiency with common office technologies and software (e.g., email, word processing, google docs, spreadsheets, data entry)
- Previous experience as a secretary, receptionist, or in a related administrative support role preferred
Essential Functions
Administrative Support:
- Serve as the first point of contact for visitors, staff, and students, ensuring a welcoming and professional front office environment.
- Manage daily front office operations including answering phones, emails, and inquiries.
- Coordinate schedules, arrange meetings, and provide administrative support to the principal and building leadership team.
- Create, distribute, and maintain school communications such as newsletters, correspondence, and announcements.
Support the planning and logistical coordination of school events, meetings, and professional development activities. - Utilize a variety of technology platforms for effective communication, data management, and operational efficiency.
- Order and maintain inventory of office and instructional supplies, seeking input from staff to ensure necessary items are stocked and readily available.
Student, Family, and Staff Support:
- Maintain accurate student attendance records; enter absences and tardies; coordinate with parents/guardians regarding attendance matters.
- Support student registration, enrollment, and withdrawal processes.
- Monitor and manage daily staff attendance using Frontline Absence Management.
- Coordinate and assign substitute coverage to ensure appropriate staffing levels.
- Track personal leave requests and assist in maintaining adequate coverage across the building.
- Communicate regularly with building administrators regarding upcoming absences, coverage needs, and attendance patterns.
- Provide support and guidance to staff on leave procedures and required documentation.
Records & Compliance:
- Maintain confidential student and staff files in accordance with district policies and legal requirements.
- Assist with data reporting related to student enrollment, attendance, and staff records, ensuring accuracy and timeliness.
- Support student and staff health and safety compliance by assisting with emergency drills, maintaining preparedness protocols, and helping implement crisis response procedures.
- Manage visitor and volunteer procedures, including check-in and identification protocols, to ensure building safety and compliance with district policies.
- Process and transfer student records for incoming and outgoing students in accordance with district procedures and confidentiality guidelines.
Budget, Purchasing & Cash Handling
- Manage the purchasing process by creating purchase orders, confirming product delivery and ensuring timely payment of invoices
- Reconcile monthly expenditures, assist with budget tracking, and provide updates to building leadership.
- Adhere to all cash handling procedures as outlined by the Business Office to ensure accuracy, accountability, and security in all financial transactions.
Other Functions
- Deliver exceptional customer service by providing accurate information and assistance in a timely manner.
- Uphold integrity and ensure confidentiality in all interactions and responsibilities.
- Engage respectfully and professionally with both internal and external stakeholders.
- Foster positive and effective communication by collaborating well with colleagues and maintaining strong working relationships.
- Upholds and adheres to safety rules and policies of the Ankeny Community School District safety program.
- Supports the goals and objectives of the school district and follows all district policies.
- Demonstrates the ability to attend work on a regular and routine basis to avoid disruption to district operations.
- Responds to emergency situations for the purpose of resolving immediate safety concerns and/or directs appropriate personnel for resolution.
- Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the building.
Working Environment

The usual and customary methods of performing the position functions require the following physical demands: lifting, carrying, pushing, pulling, climbing, reaching, driving, standing and walking. Working conditions may include extreme temperatures and humidity. Hazards may include exposure to communicable diseases. This position requires one to maintain emotional control under stress.
