Job Summary
We are seeking a dedicated and organized Medical Coordinator to join our healthcare team. The ideal candidate will play a crucial role and acts as a liaison between staff, physicians, and leadership to ensure seamless operations and high-quality patient care. This position requires strong interpersonal skills, attention to detail, and proficiency in medical scheduling software.
Responsibilities
Key Responsibilities/ Essential Functions:
- Execute DME licensing process/database and any associated modules ensuring accuracy.
- Monitors critical data (i.e., renewal) to ensure necessary steps are completed without delayed impact.
- Manage inventory, including ordering and stocking DME supplies.
- Manages the expirable process to ensure all clinical provider licenses and certificates remain current, with notification to appropriate parties prior to expiration.
- Contact insurance company(s) as required.
- Monitors and reports turnaround times for processing of applications, with focus on delivery of high-quality products, with the greatest efficiency, in the least amount of time.
- Prepares for and coordinates audits in compliance with contracts.
- Communicate with clinic personnel as needed relating to DME needs.
- Handle insurance billing, prior authorizations, and collections.
- Track and report DME program metrics, including expenses, revenue, and denial trends.
- Maintain accurate records and documentation in the electronic medical record (EMR) and billing systems.
- Provide training and oversight to staff on DME procedures.
- Address patient questions and concerns regarding DME billing issues.
- Stay up to date and comply with healthcare regulations, such as HIPAA (Health Insurance Portability and Accountability) and the ACA (Affordable Care Act) HIPAA and the ACA.
- Follow guidelines set by Medicare, state programs, and HMO/PPOs.
- Knowledgeable in office procedures and computer software(s) (i.e., word, excel, email, etc.).
- Knowledgeable in medical insurance company guidelines and operations.
- Professional, clear, and concise communication.
- Cross training with applicable department team members to serve as backup/coverage when needed.
- Ability to work with outside vendors.
- Adhere to all ALCC (Alabama Cancer Care) policies, procedures, regulations, and compliance standards.
- Conduct duties in a professional and timely manner.
- Perform other duties as assigned.
Requirements
- High School diploma, GED or equivalent.
- 2 years of proven experience in a similar role, in a healthcare setting.
- Strong organizational and communication skills.
- Empathetic and patient demeanor.
- Clear understanding of insurance-related terminology and processes.
- Ability to handle sensitive information with confidentiality.
- Effective communication and interpersonal skills.
- Excellent organizational abilities and attention to detail.
- Proficient in utilizing Electronic Medical Record (EMR) systems, Practice Management systems (PM), and IT skills for efficient workflow.
- Familiarity with relevant compliance standards.
- Ability to work collaboratively, in a fast-paced team environment.
- Adaptability to evolving processes and procedures.
