Food Delivery Coordination: Commodities
TEFAP
· Coordinate the delivery of commodities to designated distribution sites throughout an 8-county service area with 9 locations quarterly.
· Develop and maintain delivery schedules, routes, and logistics to optimize efficiency and ensure an adequate supply of commodities for distribution.
· Communicate and coordinate with distribution site contact to confirm delivery details at least 10 business days prior to distribution.
· Resolve any delivery-related issues immediately or as soon as possible.
· Increase commodity distribution to every other month by July 2024.
· Outreach prior to each distribution via PSAs for all 9 locations
Meals on Wheels Coordination
AAAD -Home Delivered and Congregate Handbooks
· Coordinate the Meals on Wheels and congregate program Volunteers based on their availability.
· Collect and submit volunteer Information sheets and back ground checks to AAAD within 3 days of volunteer sign up
· Organize and distribute meal delivery routes to volunteers upon volunteer completion of training, providing clear instructions and maps from Nutrition Coordinator
Volunteer Coordination
Little Green Light volunteer database
· Continuously recruit, train, and supervise volunteers involved in the delivery of commodities and meals.
· Conduct orientation sessions at least quarterly and provide training to volunteers, ensuring they understand their roles and responsibilities.
· Assign delivery routes and schedules to volunteers based on their availability and areas of service within 5 business days of orientation.
· Maintain regular communication with volunteers, providing support, guidance, and addressing any concerns or questions as they arise.
· Establish a system for volunteer feedback, collecting data on service quality, and implementing improvements when necessary.
· Recognize and acknowledge the contributions of volunteers at least annually, fostering a positive and inclusive volunteer culture.
Safety and Compliance
TEFAP and AAAD
· Ensure compliance with health and safety regulations during the handling, storage, and distribution of commodities and meals.
· Implement and enforce sanitary practices to maintain food quality and prevent contamination.
· Stay up to date with relevant regulations and best practices in delivery coordination and food handling.
· First in first out of all food inventory based on received and expiration dates prior to distributions of meals or commodities.
Administration and Reporting
Little Green Light, AAAD, and TEFAP
· Maintain accurate records and databases of recipients, volunteers, and delivery schedules.
· Prepare reports and statistics related to delivery operations and program activities according to funder guideline timelines.
· Collaborate with other departments or team members to ensure proper coordination and alignment of activities.
· Assist in the development and implementation of policies, procedures, and guidelines related to delivery coordination and program management.
· Manage budgetary aspects related to delivery operations, such as tracking expenses and ensuring cost-effective practices.
· Prepare monthly reports on volunteer recruitment, training, and performance metrics for management review.
· Complete Registry checks annually for all MOW volunteers and submit to AAAD by August 1
· Submit quarterly volunteer report to Nutrition Coordinator by the 3 of January, April, July and October.
Other duties as assigned
*This position is currently funded through a three-year grant from the Rural Development Division of the U.S. Department of Agriculture and from annual AAAD contract.

Minimum Qualifications and Skills:
- High school diploma or equivalent
- Volunteer coordination experience preferred.
- Forklift certification preferred, but not required.
- CDL, Class B preferred, but not required.
