Job Title: Gift Accountant

I. Purpose of the Job
The Gift Accountant is responsible for accurately processing and recording all charitable contributions to Southeastern Baptist Theological Seminary. This role ensures giving data integrity, enables timely gift acknowledgment through gift receipting and notifying development officers, and supports comprehensive donor stewardship. Additionally, the Gift Accountant maintains gift reports, assists in donor prospect research, and supports database management efforts to enhance the efficiency of fundraising operations.
II. Essential Functions & Responsibilities
Gift Processing & Data Integrity
- Process and record all contributions, including checks, online donations, wire transfers, payroll deductions, cooperative program gifts, memorial gifts, and direct student support.
- Maintain accuracy and consistency in donor records by updating constituent and gift details as needed.
- Ensure proper documentation and tracking of all gifts, including maintaining digital and physical records.
- Create new giving funds as needed, ensuring accurate documentation and collaboration with the appropriate departments.
- Communicate with donors when necessary to clarify gift details or resolve discrepancies.
Gift Recognition & Donor Stewardship
- Generate and distribute tax receipts and acknowledgment letters in a timely manner.
- Assign stewardship tasks to Development Officers (DOs) through gift software.
- Coordinate with Directors to develop monthly donor correspondence and personalized stewardship materials.
- Generate reports to track donor recognition efforts, ensuring consistency in acknowledgment practices.
- Identify new Southeastern Society and Legacy Society members through monthly reporting, coordinate the delivery of appropriate welcome materials and assign to appropriate Development Officer portfolio for cultivation and stewardship.
Gift Reports & Donor Prospect Research
- Prepare and distribute regular giving reports for internal stakeholders, including monthly financial and donor activity reports.
- Oversee the preparation of end-of-fiscal-year reports, including Endowment Reports and major gift updates.
- Utilize research software and historic giving data to identify mid-major level gift prospects. Document findings onto donor records and assign appropriate tasks to Development Officers for further action.
Database Management & Data Integrity
- Maintain data accuracy within the donor database, ensuring proper constituent coding and organization of donor records.
- Conduct periodic data audits (ex: duplicate records, deceased constituents, etc.) to correct inconsistencies and optimize database efficiency.
- Assist in the implementation of best practices for database management, gift tracking, and reporting.
- Collaborate with the development team to improve data-driven fundraising strategies.
Administrative & Event Support
- Process invoices, stipends, and honorariums; reconcile the office credit card monthly.
- Support the execution of key development and alumni engagement events.
- Assist with additional donor stewardship and engagement efforts as needed.

- This position is restricted to current SEBTS students and spouses of SEBTS students
- Undergraduate degree or work background in Accounting preferred but not required.
- Proficiency in Microsoft Office Suite.
- Strong attention to detail and commitment to data accuracy.
- Ability to learn new software systems.
- Ability to manage multiple tasks and deadlines efficiently.
- Strong communication and interpersonal skills.
- Willingness to learn new technologies and processes related to fundraising operations.
IV. Physical Demands
- Moderate physical demands, including walking, lifting, and event setup.
V. Working Conditions & Environment
- Extended hours required during peak development periods (e.g., Southeastern Society Meetings, conventions, and major donor events).
- Some travel may be necessary.
