- Serves as the executive assistant to the Vice Chancellor for Finance and Administration.
- Assists supervisor by maintaining appointment calendar, making travel arrangements and prioritizing incoming correspondence.
- Performs other administrative support duties; organizes and schedules meeting, attend workshops, seminars and meetings; provides assistance and information regarding policies and procedures.
- Maintains inventory of office supplies for supervisor.
- Researches and gathers information for special projects assigned by supervisor.
- Maintains level of proficiency on software system used in office.
- Stays abreast of the correct preparation and distribution of forms applicable for specific job assignment (i.e. purchase requisitions, personnel requisitions, travel requests, leave forms, time sheets, etc.
- Prepares various financial and budget report upon request using PowerPoint, Excel, and other formats as needed.
- Responsible for the management of the campus photocopiers.
- Responsible for the daily operation of the campus post office. Supervises clerical support in processing in-coming and out-going mail.
- Composes, types, and edits forms/documents including but not limited to letters, memoranda, reports, purchase orders and other financial documents.
- Greets visitors, ascertains nature of business, provides proper information or refers to appropriate person.
- Provides clerical support to the Controller as needed.
- Serves as P-card liaison by maintaining receipts and completing monthly reports.
- Updates and maintains the Finance and Administration section of the Strategic Plan.
- Fixed Assets Management-Recording and tracking long-term assets form acquisition to disposal.
- Performs related responsibilities as required or assigned by supervisor.
SKILLS & ABILITIES
Education
- AA/AAS Degree
- Two years of specialized training in business management, business education, or a related field;
