Job Summary
The Administrative Assistant will play a key role in ensuring the smooth operation of the office by providing administrative support to staff and assisting with daily office tasks.
Front Desk/Clerical Duties
· Greet members/guests
· Answer phone calls/emails
o Assist members with services, troubleshoot issues
o Respond to after-hours voicemails
· Keep track of office supplies and replenish when needed
· Light office cleaning maintenance, keep areas clean and organized
· Manage phone system
· Maintain relationships with industry partners
· Create forms for internal use
· Assist AE with special events, projects, meetings
· Record and update processes and procedures in position manual
Membership Registration
· Register new members, collect dues and bill for services
o New member folders
· Register new members and maintain member profiles
o Supra and MARIS activation, transfers and troubleshooting
o NAR (m1.realtor/NRDS), formsRus, and Forewarn
· Request letters of good standing for board transfers
· Assist members with third party memberships, product vendors (MARIS MLS, Supra, troubleshooting
· Prepare materials for New Member Orientation and Code of Ethics training
o Coordinate snack & lunch sponsors
o Distribute Realtor certificate and pin
o Record new member COE and report to NAR via GZ
· DISA background checks for Fellow Affiliate members
GrowthZone
· CRM management
o Add new members, update contact information, track COE hours to report to NAR, add/transfer Offices
· Events
o Creating event framework, including attendee and sponsor setup, registration management
o Coordinate Events in collaboration with committees
o Attend all board events, work as needed (registration, coordinate attendees/sponsors/vendors)
· Membership
o Manage memberships, billing, start/drop/transfer services
· Website management
Marketing
· Create marketing materials for social media, newsletters, and email campaigns
· Marketing to members, affiliates, sponsors
· Marketing of leveled sponsors to membership
Constant Contact
· Add/update contact list
· Create, schedule and publish email campaigns via newsletters, important reminders/updates to members
Quickbooks
· Add and manage Store inventory, periodically compare Inventory reports to check for consistency
· Add new member payment profiles
· Create Sales Invoices and process payment for Store purchases
Realtor Store
· Manage and purchase product inventory
· Label & price products
· Program Supras as purchased
· Marketing the store
Committees
· Attend Committee meetings
· Assist with marketing for events
· Collect information from and collaborate with committee members to accomplish committee goals
· Sit on any special task force/committees as required
Job Type: Full-time
Pay: $37,000.00 - $42,000.00 per year
