Position Summary
- Under the supervision of the Practice Manager, the Supervisor will be responsible for ensuring the efficient operation of the assigned medical office on a day-to-day basis with some support from the Practice Manager. The Supervisor will maintain professionalism and strict confidentiality and will work within the policies and procedures of the organization. The Supervisor will be the primary contact for the office providers and both the clerical and nursing office staff in all practice operational activities. With ongoing support from the Director of Operations and Practice Manager, this position has the ability to function independently within the scope of responsibilities and within the broad scope of the practice’s policies and goals.

Education
- Associates Degree in Business Administration or Healthcare related field preferred or 3 years’ comparable experience in a healthcare setting.
Experience and Skills
- Technical Experience: 3 years experience in medical office setting preferred
- Supervisor Experience:
Physical Activities
- Intermittent hand manipulation required
- Intermittent lifting and carrying of 20 lbs. which can be modified.
Role Specific Responsibilities
- Work with the Medical Director to schedule and lead staff meetings. Ensure that all staff have the information they need to adequately perform their duties. This includes sharing relevant information this position learned about through committees, MG Practice meetings, etc. Keep minutes of meetings and follow up on pertinent issues.
- Approve and order all office supplies and equipment valued at <$200 and communicate with the Director of Business Operations regarding capital purchases and equipment maintenance.
- Responsible for promptly researching, documenting, and professionally addressing all patient complaints
- Participates in corrective action process according to policy. Notifies Director of Operations of any situations that may lead to this action. Works closely with Human Resources to complete this task.
- Willingly covers front end functions when needed including scheduling patients, registering patients, and managing medical records.
- Perform his/her job in a safe and injury free manner observing all safety guidelines and protocols associated with his/her position.
- Notifies Practice Manager of infractions of policy, procedure, laws, and regulations as they are identified. Notifies Director of Operations of same issue if supervisor does not correct or receive issue within a reasonable time frame. Notifies Corporate Compliance Officer of any issues that continue to be unresolved.
- Responsible for supporting Practice Manager and Director of Operations in preparing the annual budget and monitoring actual to budgeted performance on a monthly basis. Summarize the monthly financial situation to review with Practice Manager and Medical Director, address variances, and develop improvement plans where necessary.
- Review key performance indicators and support business and operational planning to support reaching leading practice and goal performance.
- Access EPIC, ChartMaxx and Meditech to print patient information and test results as needed or requested by physician.
- Assists Practice Manager as assigned and covers in their absence.
- Assists with all scheduler roles.
- Provides pre-certification and ABN’s as required.
- All other duties as assigned or requested.
Compensation (Commensurate with experience):
