The Director of Campus Service Operations is responsible for ensuring university compliance with the State of Illinois Property Control Act and related Department of Central Management Services (CMS) regulations. This role provides administrative direction for property management, ensuring timely and accurate reporting of university assets. Acting as the primary campus resource on state property regulations, the Director also serves as the Chancellor's delegate for property-related document approvals.
As a senior management team member within the Office of the Vice Chancellor for Administration and Finance, the Director is assigned to special projects requiring process analysis and improvement. The role represents the Vice Chancellor’s office in meetings and committees as needed.
The position directly supervises the Property Control department, overseeing asset tagging, tracking, reporting, and disposal. Responsibilities include staff supervision, work planning, performance evaluations, and personnel actions. Additionally, the Director provides administrative oversight to the Campus Mail Service department, ensuring efficient mail collection and distribution operations, while supporting the Campus Mail Manager in daily functions.
A key focus of this role is process improvement through technology, working with staff to develop and implement streamlined workflows. The Director leverages university systems to capture and analyze data, assembling reports for senior management and financial administrators.
This is a term, 12-month, administrative/professional appointment with a target salary of $88,644 per year. Final salary offer will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, and budget constraints.
Examples of Duties
- Provide administrative direction for University compliance with the provisions of the State of Illinois Property Control Act, subject to the regulations of the Department of Central Management Services. Ensure timely completion of various reports related to University property.
- Act as the primary campus resource regarding the State Property Control Act and serve as the Chancellor's delegate for document approval.
- Member of the senior management team of the Vice Chancellor for Administration and Finance assigned to special projects requiring financial analysis and process improvements.
- Represent the Vice Chancellor for Administration and Finance office at various meetings and serve as a member on committees as requested.
- Supervise the Property Control department, which is responsible for tagging, tracking, reporting, and the disposition of University equipment. Plan, assign and review work activities, counsel subordinates, evaluate job performance, and approve or recommend personnel actions.
- Direct the Campus Mail Service department, which is responsible for the collection and distribution of all postal letters and packages. Provide administrative oversight to the Campus Mail Manager, who is responsible for the day-to-day operations of the department.
- Work with departmental staff to develop, implement, and maintain both functional and technical processes by streamlining work-flows with the use of technology. Develop processes for capturing data from various University computer systems and assemble reports from these systems for senior management and other financial administrative staff.
Qualifications
Minimum Qualifications:
A bachelor’s degree in business administration, management, accounting, finance, or a related field; or a combination of any undergraduate degree with a master’s degree in business, administration, or accounting (e.g., Business Administration, Accounting, Public Administration). Two (2) years of professional experience in accounting, management, or business operations, including at least one year in an administrative role. Additional education, training, or work experience specific to the position may be required.
Preferred Qualifications:
The ideal candidate will possess strong analytical and oral and written communication skills, the ability to effectively communicate with other campus departments, and an understanding of Enterprise Resource Planning (ERP) databases, including report writing and data extraction. Proficiency in the use of a personal computer and other IT equipment is preferred. The ability to manage concurrent projects and to delegate tasks to assigned staff is also preferred.
